JOB PURPOSE

The position of Human Resources Assistant is part of the HR operations team based in the Country Office in Beirut. The main responsibility of the position is to provide talent acquisition services including, but not limited to, sourcing, recruitment, onboarding, management of benefits and contract management.

KEY ACCOUNTABILITIES (not all-inclusive)

Within delegated authority and under the direct supervision of the National HR Officer and the overall supervision of the Head of HR, the incumbent’s main accountabilities and responsibilities involve the following:

• Responsible for administering the end-to-end recruitment and selection of locally recruited positions (SC/SSA/UNV/Interns), including set-up of pre-hiring meetings, preparation of Vacancy Announcements, longlisting, coordination of assessment, Interviewing and reporting, under close supervision of the HR Officer; • Maintain ongoing communication and follow-up with hiring manager to ensure timely actions and closure of positions, in line with established timelines; • Ensure excellent candidate engagement throughout the selection process, including timely and qualitative communication upon closure of the position; • Liaise effectively with ‘sourcing expert’ colleagues in the Regional Bureau, to ensure a solid pool of candidates; • Support with the effective roll-out of new online assessment tools, by coordinating access and roll-out with relevant team members and by collecting relevant data to analyze tool’s effectiveness/impact; • Ensure updated and qualitative recruitment trackers, including key metrics/data on the selection process (timelines, recruitment source, etc.) for all positions; • Support with the development of an HR Operations dashboard, leveraging available analytics tools (i.e. Tableau) and working together with other team members. • Ensure completed and organized online recruitment files are available for all positions, as well all contractual documents are accurately uploaded on the HR Personnel records of selected individuals, in close coordination with other HR members. • Assist the HR Officer with contract management for International Consultants and International Short-term Professionals, by preparing standard communication, collect documents and prepare contracts, incl. ensuring timely appointment in WINGS and effective communication with corporate Contracts Branch (HRMOC) colleagues. • Facilitate a smooth onboarding for all ‘new’ joiners, in close coordination with the HR team. • Ensure close follow-up is being done with all ‘new’ joiners, their direct supervisors and related head of unit and highlight any training or performance gap at early stages • Perform other duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. University degree in HR Management or Business Administration is a plus.

Experience: At least four (4) years of progressively responsible experience in the HR field with at least three (3) years of experience specifically in talent acquisition, sourcing and onboarding.

Language: Fluency in both oral and written communication in Arabic and English.

  • • Good understanding of key HR principles and best practices including longlisting, assessment of candidates, onboarding • Excellent inter-personal skills and ability to operate in an international, multicultural environment • Ability to create trust with team/employees and deal with confidential information in a professional manner • Demonstrated ability to deliver timely high-quality deliverables • Demonstrated ability to maintain HR trackers with a high level of detail-orientation • Proficient user of MS Office, including SharePoint, Excel and PowerPoint • Strong drive and motivation • Flexible attitude towards shifting tasks and responsibilities.
