Secretary is the pillar behind the operation and functioning of GDC. They ensure that the work and image of GDC is supported and works closely with the Chair to manage and follow up on tasks. As the main point of contact between GDC and external stakeholders like diaspora organizations, GDC relies on secretary volunteers to engage our partners so that GDC can increase our outreach to facilitate partnerships and coordination with diaspora organizations. By creating meetings, writing letters, and initiating contact with diaspora organizations for instance, secretary team allows the mission of GDC to be fulfilled—to create and build an inclusive movement where all Diaspora Organizations can be supported, belong to, discover and realize their ambitions in order to achieve peace, unity, and social and economic advancement for all.
Under the direct supervision of the Chair, volunteers are responsible for supporting and coordinating GDC operations as well as for ensuring that outstanding enquiries and meetings are well organized, documented and managed without delay.
Task description includes:
Setting up, organizing, and taking minutes of meetings: between 2 and 4 meetings per week, lasting approximately one hour each.
Assisting the Chair with any outstanding tasks, such as scheduling meetings.
Managing responses and emails for the Chair's office during his absence - between 10 and 20 emails per week.
Assist with the preparation of official correspondence, such as letters to partners on behalf of the GDC and the Chair.
Monitoring the progress of the tasks and following up on them as necessary.
Assisting in multiple projects simultaneously, such as scheduling meetings and writing letters for the GDC.
Assisting in the management of stakeholder and partner relations at all levels.
