ROLE PURPOSE:

The Fleet Officer (FO) has the responsibility to coordinate vehicle & staff movements, manage the fleet and cover efficiently transport needs of our programs and operations. Contribute in with the delivery of timely, effective and accountable logistics support standards in SAO.

SCOPE OF ROLE:

Reports to: Supply Chain Coordinator

Staff reporting to this post: Drivers

KEY AREAS OF ACCOUNTABILITY:

  • Day-to-day management of the fleet assigned to area of operation.
  • Ensure vehicles have correct equipment and sufficient fuel for the planned trip.
  • Manage fuel, fluids and spares stocks as needed.
  • Manage fuel and maintenance contracts depending on identified needs and related fleet reports.
  • Collate transport requests and complete the movement plan.
  • Complete and update daily vehicle movement and service board and ensure vehicles are tracked when away from base.
  • Ensure planned preventative maintenance is carried out to a high standard with minimum disruption to programme activities.
  • Direct line managing of all drivers and ensuring that are briefed on and adhere to Save the Children policies and procedures.
  • Ensure rental vehicles and hired drivers have an acceptable level of skills and are briefed on Save the Children policies and code of conduct.
  • Ensure rented vehicles’ and driver’s contracts are complete and correct.
  • Provide procurement team all payment information for the timely payment of rental vehicles.
  • Collate and analyze all fleet data and forward to Supply Chain Coordinator.
  • Maintain and update all required records and paperwork for vehicles and drivers; ensure that proper documentation is maintained for all aspects of vehicle operations. Ensure that log books are filled correctly and display all relevant information authorized by correct passenger and identify forms are filled for all non SCI staff traveling in vehicles.
  • Ensure that drivers do weekly vehicle checks of standard items as per vehicle weekly checklist and report all vehicle defects, Health and security issues to the field logistic officer.
  • Provide information to the Supply Chain Coordinator for submitting monthly vehicle performance reports.
  • Provides efficient services to all staff, volunteers and visitors while travelling for work.
  • Track staff movements through Whast App, Atlas NXT and other modes of tracking.
  • Perform any other work related duties and responsibilities that may be assigned by the Line Managers.

QUALIFICATIONS:

  • Graduate degree or any other equivalent qualification.
  • Knowledge of computer software packages (MS Word and MS Excel).
  • Good spoken and written English

EXPERIENCE AND SKILLS:

  • At least three years of general work experience
  • 2 years minimum of specific sector work experience in a similar position
  • Experience in basic vehicle repair and maintenance
  • Driver’s license B
  • Should be able to work under pressure and tight deadlines
  • Ability to take initiatives
  • Excellent interpersonal and team skills
  • Strong capacity building skills
  • Good working proficiency of English
  • Commitment to and understanding of Save the Children’s aims, values and principles. To recognize the need to be independent, neutral and impartial when at all possible.

ADDITIONAL JOB RESPONSIBILITIES:

The duties and responsibilities as set out above are not exhaustive and the role holder may be required to carry out additional duties within reasonableness of their level of skills and experience.

Child Safeguarding: Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.
