As part of the Staff Support Strategy for the HQ Efficiency Initiative (HQEI), a short-term Staff Support Unit (SSU) was established to serve as a direct central resource for staff ahead of and during the transition of functions. The Human Resources Project Assistant at the G-5 level will be located in UNICEF New York Headquarters (NYHQ), in the Division of Human Resources (DHR), within the SSU and will report to the Human Resources Officer, SSU.

How can you make a difference?

Under the close supervision and guidance of the Human Resources Officer, SSU, the Human Resources Project Assistant provides administrative, system, procedural and operational support and assistance to the SSU, ensuring consistency and a people-centric approach in the support and services provided across all divisions.

Summary of key functions/accountabilities:

Systems coordination and case monitoring

  • In coordination with ICTD, support the SSU with setting up a system that logs and tracks incoming requests from clients and HR Business Partners.
  • Receive, log and assign service requests in the system.
  • Provide system training to HRBPs and other colleagues in the Specialized Support Network (SSN).

Workflow creation

  • Support the HR Officer, SSU in the creation of workflows to direct staff members’ requests to the correct specialized support based on the reported needs.
  • Assist with the creation of SLAs based on the workflows created.

    Knowledge sharing and management

  • Compile case scenarios for the documentation of lessons learned.

  • Support with updating the dedicated Staff Support page.
  • In coordination with HQEI communications team, support updating FAQs and ensuring timely updates for staff, HRBPs, and SSU team.

Events and conferences

  • Support capacity development activities and events by making the logistical arrangements, through engaging with facilitators and hosts; arrange times through liaising with participants over availability; liaise with budget focal points and section over costs and needs and prepare background materials for participants and upload cleared materials in the intranet.
  • Prepare and maintain agendas on meetings and events related to the SSU commitments.
  • In coordination with SA in NY and GVA offices, support townhall meetings, minutes and action plans.

General administrative support

  • Draft and/or process a variety of correspondence and other communications.
  • Schedule appointments and meetings with focal points of relevant sections/experts/ HR team to monitor and coordinate the requirements identified by Divisions and offices.
  • Maintain SSU team calendar and arrange meetings. Take minutes of meetings and keep the correspondence of the team well organized.
  • Any other administrative tasks as it may evolve and assigned by the supervisor

To qualify as an advocate for every child you will have…

  • Completion of secondary education, preferably supplemented by technical or university courses related to HR, Administration, or any other related field.
  • A minimum of 5 years of progressively responsible administrative or clerical work experience required.
  • Good knowledge of HR and Administrative principles, rules, regulations and procedures within the UN.
  • Strong computer skills and experience with using CRM system.
  • Strong organizational, planning and prioritizing skills and abilities.
  • Strong data analytics skills.
  • Takes responsibility to respond to internal and external service needs promptly and proactively; takes initiative to ensure that deadlines, rules and regulations are met. Uses own discretion to address unforeseen situations.
  • Demonstrates a high degree of confidentiality, initiative and good judgment.
  • Demonstrates courtesy, tact, patience and ability to work effectively with people of different national and cultural backgrounds.
  • Non-US candidates must be in possession of an existing US G4 visa or be a US permanent resident/citizen.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
