Your team You will be part of the Directorate Administration in the Directorate General Corporate Services. Our Directorate oversees the ECB’s infrastructure, facilities and security management services. We also provide real estate, space and construction project management services and coordinate the ECB’s art-related activities. Finally, we coordinate all occupational health and safety activities and oversee the ECB’s environmental management system.

We are looking for trainees to join the Administrative Services Division, the Premises Division or the Security and Safety Division.

As a trainee in the Administrative Services Division, you will join a team responsible for a broad range of customer-oriented services, such as catering, support for meetings, conferences and events, logistics (including inventories and relocations), mail services, business travel, cleaning and green care. We manage a central service desk, perform comprehensive data analytics and offer functional support for various IT applications. We are also responsible for the ECB's environmental management system.

As a trainee in the Premises Division, you will be part of the team responsible for managing the ECB’s construction projects, corporate real estate and technical facilities. This Division manages the special requirements of the ECB by providing owned and leased buildings. Where necessary, we manage construction projects to adapt these buildings to evolving needs, liaising closely with staff members and service providers. We are also responsible for operating and maintaining the buildings and for providing audio and media services and utilities.

As a trainee in the Security and Safety Division, you will join either the Service Centre unit or the Security Risk Management and Governance Section.

Your role Your tasks as a trainee will be supervised and will vary according to the division and team you join.

In all divisions they may include:

- conducting research and drafting reports; - compiling and analysing statistical data; - preparing and delivering presentations related to the activities of your team.

As a trainee in the Administrative Services Division, you will help to manage one of our services and the related communication with customers. You will have the opportunity to help enhance our processes, analyse business data and contribute to environmental management activities, including efforts to reduce the ECB’s operational carbon footprint. Your tasks may include:

- performing data analysis and visualisation by applying machine learning techniques; - contributing to specific operations, such as the EU Eco-Management and Audit Scheme (EMAS) certification process as part of the Green ECB team; - supporting the ECB’s move to a hybrid working environment; - assisting with the Directorate’s public procurement procedures in collaboration with the ECB’s procurement department; - supporting service and supplier performance management activities in one of our services teams.

As a trainee in the Premises Division, you will support our efforts to continuously improve and optimise our buildings and services. Your tasks may include:

- supporting changes in and enhancing space management; - helping to improve energy reliability, maintenance planning and energy consumption by analysing data and creating dashboards; - supporting project management activities and the implementation of construction projects and activities; - helping to perform analysis of construction market developments, for example in relation to building information modelling; - helping the procurement team to run tender procedures.

As a trainee in the Security and Safety Division, you will contribute to the work of our teams as we help to provide a safe and secure work environment for our staff, for example by managing access rights to specific areas of the buildings, assessing threats and physical security risks or helping to identify, analyse and manage occupational safety risks. Your tasks may include:

- providing administrative support for procedures in the Service Centre; - supporting the optimisation and implementation of the security risk management framework; - supporting the management of occupational safety risks; - supporting project management activities and the implementation of projects and activities.

Qualifications, experience and skills Essential:

- a bachelor’s degree or higher in business or public administration, law, facility management, architecture, engineering, art, risk management, mathematics, statistics, econometrics, social sciences, environmental protection, sustainability management, communications, information technology, logistics, procurement, travel management, event management or another relevant field; - a general interest in European affairs, central banking and matters of relevance to the Directorate Administration; - a good knowledge of the MS Office package; - an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.

Desired:

- an advanced knowledge of the MS Office package or tools for data management and analysis (e.g. Python, Tableau, Power BI and SAP Analytics Cloud); - knowledge of, and some experience in, one or more of the following fields: service management, quality assurance, process management, environmental standards, travel management, event management, occupational health and safety, logistics, contract management, business and data analysis or risk management; - the ability to interpret data and an analytical/innovative mindset; - familiarity with the requirements of relevant standards and regulations, in particular ISO 14001, EMAS and ISO 45001.

You are curious and eager to learn and want to further develop your ability to analyse complex information. You are keen to collaborate with others, pursue team goals and learn from other people’s diverse perspectives. You strive to know and anticipate stakeholder needs and will signal any need for change and propose alternative solutions.

Further information Traineeship of six months, with the possibility of an extension to up to 12 months in total in the same business unit or in another division or section within the Directorate General Corporate Services.
