Org. Setting and Reporting The mandate of the United Nations Economic and Social Commission for Asia and the Pacific (ESCAP) is to promote regional cooperation for inclusive economic and social development in the Asian and Pacific region. The role of ESCAP as a regional development arm of the United Nations Secretariat is to support its membership, through its analytical, normative and technical cooperation, to respond to the development priorities and changing needs of the Asian and Pacific region.

This position is located in the Editorial Unit of the Conference and Documentation Services Section. The incumbent is under the direct supervision of the Chief of the Editorial Unit and the general supervision of the Chief, Conference and Documentation Services Section (CDSS).

Responsibilities Under the direct supervision of the Chief of the Editorial Unit, the incumbent is responsible for the following duties:

1. Performs independently and effectively the full range of office management and administrative support functions for the Unit.

2. Provides assistance to the day-to-day activities of the English Text Processing sub-unit with respect to desk-top publishing; establishes priorities, provides technical assistance as needed for the production of camera-ready documents for reproduction and storage of final text.

3. Assists the Chief of Unit in assigning incoming jobs and tracking the workflow, ensuring efficient and effective processing of documentation and an equitable distribution of work, through the document management system, DCPMS. Ensures that outgoing texts are submitted correctly to the translation units, text processing units or reproduction unit.

4. Oversees the performance of text processing staff in the Editorial Unit; informs the Chief of Unit of issues arisen, identifies and resolves them as necessary.

5. Liaises with editors with respect to all revisions, ensuring all editorial changes are made; clarifies and finalizes changes, ensuring that any additional revisions are included in the final version.

6. Ensures the provision of computer equipment and email services to all staff in the unit; handles all arrangements connected with this task such as requisitions and LAN administration.

7. Ensures typographical accuracy in conformity with United Nations editorial rules and style; oversees desktop publishing functions.

8. Trains, guides and supervises junior staff, as appropriate.

9. Carries out other tasks requested by the Chief of Unit, including e-Pas completion for staff in the subunit, staying available for overtime work and on-call assignments, as needed.

    Education High school diploma or equivalent is required. A first level university degree is desirable.

    Work Experience A minimum of seven years of experience in general office support, desk-top publishing, text processing and proofreading, is required. Experience in supervising team is required. Experience working with United Nations documentation procedures is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required.

    Assessment Qualified applicants may be evaluated through a competency-based interview and/or other assessment methods.

    Special Notice Appointment against this post is on a local basis; candidates shall be recruited in the country or within commuting distance of the ESCAP office, irrespective of nationality and length of time the candidate may have been in the country. If no suitable local candidate is identified, candidates residing abroad may be considered. The candidate is responsible for any expenses incurred in taking the relevant examinations at the duty station, and of any costs related to traveling and relocating to the duty station in the event of an employment offer.

Must have passed the United Nations Global General Service Test (GGST) at Headquarters or an equivalent locally-administered test at Offices Away from Headquarters.
