Org. Setting and Reporting

The position is located in the Supply Unit in the United Nations Military Observer Group in India and Pakistan (UNMOGIP), Islamabad The Property Control and Inventory Assistant perform the duties under the direct supervision of Team Leader, Supply Unit and overall supervision of the Chief Supply Chain and Service Delivery Section.

Responsibilities

Responsibilities within delegated authority, the Property Control and Inventory Assistant at this level will carry out the following duties: • Prepares requisitions and enters data to initiate requisition process. • Enters data on all incoming expendable and non-expendable UN property, acquisitions, disposals, transfers, deletions and corrections. • Updates the Property Record Custodians database according to departmental units requests. • Participates in periodic physical inventories of UN equipment to ensure accuracy of serial and decal numbers, stock descriptions, net total on hand and exact location of property. • Coordinates delivery of accountable property. • Arranges contents of logistic stockings and receiving areas in a manner that maintains a safe working environment. • Designs and develops spreadsheet reports and databases using various software platforms in accordance with instructions received from supervisor. • Drafts routine correspondence for signature by supervisor when requested and register and file incoming correspondence. • Maintains a proper filing system. • Assists in conducting daily, weekly and monthly reconciliation of fuel receipts and issues. • Assists in implementing fuel related Quality Assurance (QA)/Quality Control (QC) policies and procedures. • Inspects, maintains, operates, and repairs fuel receipt, storage and supply facilities and Equipments, analyses historical fuel, oil and lubricants consumption and forecast future requirements. • Monitors the expenditure against the funds allocated and with respect to fuel-related requisitions. • Uses Electronic Fuel Management System (EFMS) to monitor fuel usage by vehicles, generators, locations, and all filed sites. • Monitors and analyses contract performance to ensure compliance with contract terms, schedules, and cost objectives. • Assists and implements fraud prevention programs. • Supports invoice verification and processing. • Ensure smooth and ongoing refilling of fuel at all locations without any delay. • Emergency refilling of fuel will be high priority without any delays even during weekends and public holidays. • Performs other duties as required.

Work Experience

A minimum of 3 years of progressively responsible experience within the United Nations System, in the Private or Government sector at the national or international level in the field of Property and Inventory management (Supply & Warehouse) is required. The minimum years of relevant experience is reduced to 1 year for candidates who possess a First-level university degree or higher. Working experience of MS-Office (Word, Excel, PowerPoint, Outlook) is required. Experience in data analytics or related area is desirable. Experience in fuel related functions is desirable. Working experience in international organization is desirable

Languages

English and French are the working languages of the United Nations Secretariat. For the position(s) advertised, fluency in English and Urdu is required. Knowledge of another official United Nations language is an advantage.
