Job Description

Job Overview: The Operations Assistant works with the Compliance & Operations team to support day-to-day business operations and related administrative responsibilities for IRC’s offices in Miami and Tallahassee. The primary areas of responsibility are fleet management, safety & security, and day-to-day facilities upkeep. Other duties may be assigned as needed.

Major Responsibilities:

Responsibilities include, but are not limited to:

- Support fleet management, safety & security, and day-to-day facilities maintenance. - Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots, and outdoor recreation spaces. - Assist with the procurement, storage, and disbursement of office supplies by processing office supply requests in accordance with established processes and managing staff supply inventory. - Schedule routine inspections and emergency repairs with outside vendors and property owners and prepare facilities and staff for changing weather conditions. - Complete annual fleet and business license or registrations to ensure compliance with local government regulations. - Support the onboarding of Florida-based new hires, including completing in-person verifications of I-9 documentation. - Support special projects and initiatives. - Other duties as assigned.

Qualifications

Job Requirements:

Education: Bachelor’s degree preferred.

Work Experience:

- Relevant professional experience required; minimum of 1-2 years’ experience strongly preferred.

Demonstrated Skills & Competencies:

- Strong relationship building, diplomacy, and networking skills; ability to effectively build internal and external relationships. - Demonstrated success working and communicating effectively in a multi-cultural environment. - Self-starter with excellent problem-solving skills combined with the proven ability to prioritize and manage time effectively. - Attention to detail and accuracy in work product. - Fluent in English, both spoken and written; proficiency in language(s) spoken by client group is desired. - Ability to lift 35+ lbs safely. - Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes. - Valid driver’s license and access to a personal, insured vehicle.

Working Environment:

- A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities. - - May require occasional weekend and/or evening work.
