Org. Setting and Reporting

The position is located in the United Nations Interim Administration Mission in Kosovo.

Responsibilities

Within the limits of delegated authority, the Information Technology Assistant will carry out the following duties: • Provide 1st level FTS support on Information Communication Technology related material requests, following request fulfilment, equipment lifecycle, classification, prioritisation, escalation and closure. • Receive and log service requests and escalate work orders using Customer Relationship Management Tool (e.g.INEED) as per Service Level Agreement (SLA). • Provide basic technical support to the ERP System UMOJA-related requests and issues as required. • Provide basic online and on-site assistance to problems related to the use of IT Equipment. • Assist in implementing standards for applications that meet the needs of the users and support the overall Information and Communication Technology. • Assist in the administration and data maintenance of FTS End-User devices (Laptops, Desktops, Mobile Devices, Printers, UPS, etc.). • Provide support to UNMIK data analytics and Business Intelligence Reporting requirements through various Warehouse Activity Reports, including Key Performance Indicators (KPIs) on Inventory accuracy and statistics reports. • Conduct physical inventories in the Centralised Warehousing regularly. • Ensures that UN assets are assigned stock numbers, bar-coded, tagged and assigned to the end user, records are updated in the UMOJA system (ERP) and that item recipients sign all applicable Vouchers accordingly. • Ensures that assets and equipment records are accurate, such as (serial and bar-code numbers, product descriptions, net total on hand and exact location of product). • Assists in maintaining databases and preparing reports of consumption, inventory control, stock-checking and write-off to ensure correct accountability of materials and assets; • Report discrepancies observed, damaged or missing inventory to supervisors. • Prepare documentation and inventory for audits. • Assist and support the disposal process of write-off of IT assets and expendables from the Mission’s property. • Provide supervisory roles when needed to staff by providing basic training to end-users on using UN applications/systems, stock handling, records keeping, receiving and inspection and operations in the warehouse. • Perform other duties as required.

Competencies

Professionalism: Knowledge of Information technology and applications, including computer system networks. Knowledge of data analytics and Microsoft Power BI. Good technical skills, ability to conduct ICT equipment in maintenance, storing and provide user support. Knowledge of relevant UN rules and regulations, of budgetary and administrative procedures policies and directives, and in particular of inventory and control guidelines, directives and procedures. Ability to develop and maintain control systems for assets, materials, services and claims. Shows pride in work and in achievements; demonstrates professional competence and mastery of subject matter; is conscientious and efficient in meeting commitments, observing deadlines achieving results; is motivated by professional rather than personal concerns; shows persistence when faced with difficult problems or challenges; remains calm in stressful situations. Education

Completion of secondary education/ high school diploma is required.

Job - Specific Qualification

Supplementary technical training in assets management or a related area is desirable. Relevant training, certifications/ diploma are desirable: • Information Security Awareness training • Business Intelligence (BI) Training ( e.g. UMOJA BI ) • Warehouse Module certificates in SAP/ERP e.g. Umoja • SCOR Professional Certificate

Work Experience

A minimum of 5 years of experience in Service Management and Support, IT Business Administration, Inventory and Supply Management or related areas. is required. The minimum years of relevant experience is reduced to 3 years for candidates who posses a first-level university degree or higher. Knowledge and working experience with Umoja/SAP database is desirable.

Languages

English and French are the working languages of the Secretariat. For this position advertised, fluency in oral and written English is required.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
