JOB TITLE: Human Resources Assistant

TYPE & LEVEL OF CONTRACT: Service Contract SC5

UNIT/DIVISION: Human Resources Unit, Regional Bureau Cairo (RBC)

DUTY STATION: (City, Country): Cairo, Egypt

REPORT TO: HR Officer

DURATION: Six months, renewable

NOTE: This recruitment will be used to fill other same level positions on Special Services Agreement in Regional Office and Egypt Country Office.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Provide assistance on general HR queries and follow up actions, to ensure consistent and high-quality HR services are delivered to clients across the region.
  2. Liaise with other internal units/offices on HR related matters, i.e., payroll, contracts, etc. and provide necessary information to enable timely HR services.
  3. Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements, performance and training requirements, to support analysis and reporting needs.
  4. Provide administrative support in various HR activities in the areas of work allocated by the professional officer including on boarding of new staff members in compliance with relevant processes and procedures.
  5. Maintain confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.
  6. Draft various HR documentation required for the specific area of work (e.g. employment contracts, transfer letters, training-related documents, waivers etc.) ensuring accuracy and meeting established deadlines.
  7. Support and review regional recruitment request and coordinate local appointment and promotion committee meetins
  8. Use HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines (e.g., contract expiration, performance management, etc.), ensuring compliance with the established deadlines and accuracy of HR data.
  9. Support staff deployment and related administrative actions including preparation of basic reports, to facilitate efficient HR service enabling WFP to respond quickly to a crisis.
  10. Support the capacity building and knowledge sharing bulletin board for the region.
  11. Any other duties as required

STANDARD MINIMUM QUALIFICATIONS

Education:

Completion of secondary school education, preferably supplemented by a university degree in HR, Business, Management or other related field.

Work Experience:

At least four or more years of work experience in HR operations and/or HR administrative support.

Knowledge & Skills:

  • Has conducted specific HR services activities such as payroll administration and timekeeping.
  • Has provided briefing to new recruits as part of the onboarding process.
  • Knowledge of standardized business support work routines and methods.
  • Knowledge of standard office software packages, e.g. Microsoft Office.
  • Ability to work to deadlines and follow clear instructions.
  • Uses tact and courtesy to give and receive information with a variety of individuals.

Languages:

Fluency in spoken and written English and Arabic.
