The Human Resources Department (HRD) of the International Monetary Fund (IMF) has an opening for a contractual position as a Human Resources Assistant in the HR Operations Division, Benefits Administration Team.

Under the general supervision of the Division Chief/Deputy Division Chief/Section Chief, the selected candidate’s main responsibilities will be in the area of benefits— particularly pension, insurance, and disability programs administration.

Main Job Duties and Responsibilitiess:

Specific duties include but are not limited to:

1. Supports the day-to-day administration of the Staff Retirement and Insurance Plans, disability programs, and workers compensation.

2. Responds to HR-related inquiries from current and former employees, retirees, and beneficiaries with respect to benefits and entitlements. Delivers strong customer service and ensures timely and effective issue resolution.

3. Escalates complex cases to other subject matter experts within the team or the Center of Expertise (COE) and documents actions in ServiceNow (HR case management system). Coordinates with teams across the division, vendors, and Finance (if applicable) to ensure closure of escalated issues.

4. Ensures adherence to relevant Fund policies and procedures as well as to plan provisions. Maintain relevant knowledge articles and HRD’s website updated. Contributes to development and maintenance of Standard Operating Procedures (SOPs).

5. Manages the pension/insurance phone lines and mailboxes, and respond to email inquiries effectively in collaboration with the colleagues across the team.

6. Recommends to the HR Officer appropriate action on exceptional requests, based on case analysis and research of relevant policies and precedents. Drafts communications for internal use and for Fund employees.

7. Tracks and reviews pension/insurance documents for completion and ensures proper records are maintained. Organizes the records management system (both paper and electronic files) and liaises with the HR Service Center record management team to ensure files are well maintained.

8. Identifies pressing topics and common workflow bottlenecks and works with other to improve processes to enhance service delivery.

9. Performs other job-related duties as assigned, including delivering presentations to small and large audiences.

QUALIFICATIONS:

Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of four years of Human Resources or relevant experience, is required.

In addition to the above, the successful candidate should possess the following qualifications and competencies:

  • A bachelor’s degree in human resources, accounting, business administration or a related field is preferred.
  • Excellent oral and written communication. Ability to communicate clearly and work with staff at all levels and from different departments as well as external contacts.
  • • Excellent planning and organizing skills; including attention to detail, and ability to manage multiple tasks under tight deadlines.
  • • Excellent customer service orientation, learning agility and adaptability is required.
  • • Strong interpersonal skills and ability to work independently and collaboratively in a team environment.
  • • Ability to use tact, sound judgment and utmost discretion in handling confidential and sensitive matters.
  • • Proficiency in MS Office applications. Knowledge of Workday, Service Now, would be an advantage.
