Overview

Provide day-to-day HR support for projects in Southern Ukraine.

You have:

  • Bachelor’s degree / Diploma in relevant HR/Finance Field
  • 1 year experience working as an HR Assistant in a humanitarian/recovery context
  • Good command of English/Ukrainian in both written and verbal
  • Previous experience using an online HR database
  • Proficiency in MS Office applications
  • Previous working experience in complex and volatile contexts
  • Documented results related humanitarian HR personnel
  • Good knowledge on local contexts

1. Role and responsibilities

The purpose of the HR Assistant position is day-to-day support to related human resources responsibilities for requirements in project implementation in Southern Ukraine.

Generic responsibilities

  1. Adhere to NRC policies, tools, handbooks and guidelines.
  2. Assist with the implementation of the HR function according to Plan of Action.
  3. Ensure proper filing of documents.
  4. Prepare and develop status reports as required by management.
  5. Update staff records and files on a regular basis.
  6. Promote and share ideas for improvement of the HR function.
  7. Use initiative in day-to-day problem solving in line with agreed procedures, priorities and standards for the area of work.
  8. Provide support in recruitment processes.
  9. Ensure confidential issues are being handled confidentially.

Specific responsibilities

  • Responsible for maintaining accurate data in the HR Database (People System, Excel Database, Staff List).
  • Responsible for proper documentation and filling. The filing tree is up to date, all files are saved correctly and in the right folders (i.e. all staff personnel files, hard and soft copies, timesheets, overtimes, leave requests, etc.).
  • Prepare timesheets based on data received from Finance department on a monthly basis and share with relevant staff while ensuring they are signed and saved in the relevant folders.
  • Support in recruitment process such as vacancies advertisement, conducting written test, contacting applicants for interview, prepare interview schedule etc.
  • Responsible for proper filling of recruitment documents.
  • Monitor and record staff leave days, sick leave, overtime compensation and check with direct line managers. Monitor, perform data entry and ensure that the relevant HR trackers are always updated (General vacations calendar, Overtime tracker, etc.), and that data is verified and entered accurately and in a timely manner.
  • Update on regular basis staff emergency contacts list (address, phone numbers, names and contact details for next of kin, etc.).
  • Assist in monthly staff additional vacation payment calculation, prepare order for HR Coordinator revision.
  • Supporting in preparing paperwork for employee’s overtimes payments.
  • Provide ideas and suggestions to improve the workflow and come up with proactive ways to ensure the work is always timely and error-free.
  • Carry out other HR related activities and support to Area office staff as requested.
  • Other tasks assigned by Line Manager related to HR responsibilities.

  • Area Manager/ Support Manager / HR/Admin Coordinator
  • Programme / Project Managers, and Project Coordinators
  • Support Staffs in South Area Office
