This is a UNV National Youth contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Youth contracts.

Under the direct supervision of the HR Associate, the UNV will be supporting the implementation of HR “E-Archiving” project by digitalizing all personnel HR files including automation of HR system and data management. An archivist for staff files and HR documents is responsible for managing and preserving the personnel records and human resources documents in a high level of confidentiality and accountability.

Archiving System:

• Review the current personnel files and make sure that all supporting documents are available under each section. • Analyze the personnel files materials, spot duplication, and align in one valid (most recent) document • Check on the physical condition and historical content and arrange in the right order, organize and arranges archival of the hard copies in line with the Files Check List HR ensure compliance and oversight requirements. • Maintaining and updating the organization's personnel records and HR documents. • Label all files by adding proper information making sure that the archive is accessible to multiple users • Process scanning (convert material into digital format) for all hard copies and file them on the HR shared folder in chronological order. • Converting paper-based personnel files and HR documents to electronic format and ensuring the security and integrity of electronic records. • Design and maintain organizational systems, keeping track of archived material. • Prepare indexes (Data Master sheet) for all files and material descriptions. • Take responsibility for the maintenance of set standard HR systems and files, to ensure information is accurate and readily available.

HR Data:

• Identify simple discrepancies in statistics and data, such as missing information • Ensuring that all records are properly stored, accessible, and secure. • Gather information with clear direction to support the drafting of HR analytical dashboards. • Respond to general queries and escalate where appropriate, to provide a timely and accurate service to HR Unit.

• HR, or IT, with experience in general administrative work. • Prior experience working with personnel records or human resources documents.

Desirable experience: • Experience working with electronic and physical records management systems • Knowledge of archival principles, theories, and practices, including an understanding of records management and preservation • Familiarity with digital preservation tools and techniques. • Technical skills, including proficiency with archives management software, databases, and digital preservation tools. • Excellent knowledge in digitization systems and data base management.

Knowledge & Skills: • Ability to maintain confidentiality and handle sensitive information • Strong organizational, communication, and interpersonal skills, including the ability to work independently and as part of a team. • Strong organizational and analytical skills, with the ability to manage large amounts of information • Attention to detail, • Ability to prepare and present reports • Ability to work positively under pressure

The UN Volunteer will be living in Jerusalem which is a family duty station. It is currently at UNDSS security level MODERATE. As is the case for UN staff and partners, the volunteer will make his/her own arrangements for housing and transportation to and from work.

A Volunteer Living Allowance (VLA) of ILS 4203.74 is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included (health insurance for up to 3 dependents), as well as Exit allowance for satisfactory service.
