Key Responsibilities:

Support in Grant Acquisition (40%)

  • ### Support in the coordination and conducting of the design workshop for any new grant or internally funded project (PNS).
  • ### Developing and following up on proposal development timelines and deadlines.
  • ### Support in the coordination needed for budget development with operations and finance.
  • ### Support in liaising with operations, technical team and evidence, learning, and accountability (ELA) team in development and writing of proposals.
  • ### Support in identifying and coordination with partners.
  • ### Lead the partner assessment based on WV policies.
  • ### Support in the coordination with national and international and governmental organizations for the purpose of the proposal development .
  • ### Support in the need assessments, when required, for proposal development purposes.
  • ### Support in developing and writing proposals in coordination with the GAC Manager.
  • ### Incorporate previous lessons learned into new proposals in liaison with NO and SO relevant departments in coordination with the GAC Manager .
  • ### Support in the grant contract finalization meetings and grant start up process including developing Memorandum of Understanding.

Reporting and Record Keeping (30%)​

  • ### Maintain grant files for all grants on the shared files platform (box) ensuring key documentation including final proposal, budget, signed contract, reports, program management documents, and key donor communications, are available and appropriately stored.
  • ### In coordination with the Special Business Coordinator, maintain a reporting calendar for all projects that is disseminated to key stake holders and available on the shared files platform (Box).
  • ### Support in compiling, reviewing and the finalization of project reports in coordination with operations team.
  • ### Coordination with ELA for data compiling and reviewing in alignment with the MEAL plan of every project.
  • ### Support in providing information needed for field office regular reports and data.
  • ### Ensure that Donor Guidelines are provided to AP staff.
  • ### During grant close out work with the operations team to collect all hard copies and electric programmatic data to be organized into a project archive of relevant support materials for means of verification for all project data.

Support in the management of compliance processed during project implementation (30%)

  • ### Ensure that grant start up workshops take place in coordination with the operations team, within 30 days of the grant start date.
  • ### Ensure at the start of each grant, grants have project management documents in place including staffing plan, detailed implementation plan, procurement plan, MEAL plan, indicator tracking table, and expenditure plan
  • ### Present the key information of the grant and key unique compliance requirements per the donor during the start up workshop
  • ### Support in the compiling of the Grant Health tracker (GHT) on quarter bases from the different involved partners
  • ### Facilitate quarterly review meetings of grants based on their implementation timeline to consolidate updated project management tools
  • ### Support in the process of developing the Go/No Go for each grant
  • ### Support in following up on the different PNSs in terms of compliance
  • ### Support in the creation of project profiles on iMPAQ related to grants
  • ### Support in compiling data for reporting and reviewing reports
  • ### Support projects managers in filling out information related to grants on iMPAQ
  • ### Support in the development and providing data needed for external engagement purposes.
  • ### Attend GAM forums and any other national, regional or global meetings and trainings when required.

Knowledge/Qualifications for the the Role:

  • University degree/background in Business, development studies or any other relevant field.
  • At least 3 years of progressive work experience in proposal development and project management.
  • Experienced in data collection and reporting.
  • Experience in project management cycle.
  • Strong communication and analytical skills.
  • Good interpersonal skills and cross-cultural sensitivity, abilities to work as a team.
  • Effective in written and oral communication; able to speak and write with very good standard of English.
  • Computer literacy; Strong computer skills including Word, Excel, PowerPoint.
  • Willingness to be flexible with working hours when necessary
  • Valid driving license
