While performing its core programme, UNDP also provided wide areas of operation services to other UN agencies who works in development area where most of the services provided are closely related to administration and procurement areas. The need to have extra support occurred as providing various services requires continuous follow up actions while at the same time achieving targeted yearly delivery is also crucial for the office especially in the operation.

Looking at the situation of current workload, UNDP is seeking travel and admin support to manage various requests. The post holder is expected to be able to provide excellent support under tight deadline. UNV contract modality will be established for the accomplishment of the duties and engagement of the support staff.

Under the direct supervision of Head of Finance and Resource Management Unit, the National UN University Volunteer will

Ensures implementation of operational strategies and procedures, focusing on achievement of the following results: • Full compliance of financial processes and financial records with UN/UNDP rules, regulations, policies and strategies. • Provision of inputs to elaboration of unit workplans

Provide accounting and administrative support, focusing on achievement of the following results: • Assistance in proper control of the supporting documents for payments and financial reports for NIM projects; payment execution. • Processing of financial documentation (vouchers, supporting documents, telephone invoices, etc.) and maintaining internal expenditures control system by ensuring that vouchers processed are matched and completed, transactions are correctly recorded and posted in Atlas; travel claims, monthly payment orders (MPOs) and other entitlements are duly processed. • Proper receipting of goods and services and establishment of accruals if delegated to the personnel • Provision of information for reports on financial status, procedures, exchange rates, costs and expenditures and potential funding problems. • Follow-up with other United Nations agencies for information relating to payments. • Preparation of routine correspondence, faxes, memoranda and reports in accordance with the Country Office (CO) Standard Operating Procedure. • Extracting, inputting, copying and filing data from various sources. • Maintenance of the proper filing system for financial records and documents. • Ensuring gender mainstreaming in finance activities

Provide accounting and finance support, focusing on the following areas: • Review payment document, compliance of supporting document and accuracy of calculation • Submit request to Global Shared Service Centre (GSSC) in Malaysia and response to queries from GSSC • Follow up the review notes to projects. Programme and ensure the issues addressed before proceeding to approval . • Prepare draft programme delivery report regularly to be cleared by supervisor • Review and prepare balance sheet account on quarterly basis • Review and prepare budget vs actual for management budget upon request • Prepare GLJE and request for payment upon request • Prepare deposit for participants from virtual meeting payments and also prepare to re-transfer the payment • Upon delegation can be assigned as petty cash custodian and responsible to maintain the custody of cash in safe and ensure reporting and disbursement in line with rules and procedures.

Supports knowledge building and knowledge sharing focusing on achievement of the following results: • Participation in the trainings for the operations/ projects staff. • Contributions to knowledge networks and communities of practice • Ensure active participation in the knowledge sharing in gender analysis and gender mainstreaming

The incumbent of the position should avoid any kind of discriminatory behavior including gender discrimination and ensure that

As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials.

-National UN University Volunteer receives approximately IDR 5016578.42 as Monthly Living Allowance. -Provided with assignment travel cost and entry lumpsum if applicable. -Enrolled in health, life, disability insurance. -Entitled to annual leave, 2.5 days per month. -Provided with exit lumpsum to support transition at the end of assignment.
