Org. Setting and Reporting This position is located in the English Unit, Meetings Coverage Section (MCS) of the Coverage and Media Services Branch (CMSB) in the News and Media Division (NMD) of the Department of Global Communications (DGC). The Meetings Coverage Section produces press release summaries, in English and French, of official meetings and other United Nations events at the Headquarters and at overseas conferences. Overall guidance is provided by the Chief of Section, and direct supervision by the Senior Editors of the English Unit.

  • This position is available effective as soon as possible for an initial period of three (3) months with possibility of extension.

    Responsibilities Within delegated authority, the Editorial Assistant will be responsible for the following duties:

  • Supervises, allocates and manages work and assignments of Editorial Assistants and Proofreaders (GS staff). Assists in establishing daily priorities, in consultation with the Chief of Section and Senior Editors, and in resolving day-to-day problems. Guides, trains General Service staff on the production of press releases, use of computer software, application of UN terminology and routine office procedures, and serves as their First Reporting Officer. Accompanies the DGC team on overseas missions to organize and supervise office setup, including workstations, IT and the overall workflow process.

  • Assists the Chief of Section and Senior Editors in determining Professional and General Service staffing requirements. Responsible for ensuring staffing requirement are met at all times. Calculates workload indicators to assists the Chief of Section and Senior Editors in determining staffing requirements for press officers; monitors and analyses work flow in order to achieve the most cost-effective scheduling of staff and minimize overtime cost for general service staff; schedules weekly and emergency work shifts of staff, including weekend and holidays; and makes contingency plans for full coverage outside normal working hours.

  • Ensures an effective workflow critical to efficient meetings coverage. Provides press officers and proofreaders with background material relevant to their specific assignments; posts on the internet the final versions of press releases; posts press releases issued on the daily board listing; and coordinates with other offices to facilitate the translation of statements and press conferences.

  • Assists the Chief of Section and Senior Editors in drafting, submitting and managing job openings in inspira. Serves as primary hiring manager in the recruitment of Editorial Assistants/Proofreaders (GS staff) in the English Unit. Schedules and administers relevant recruitment examinations/tests, for both Professional and General Service staff candidates in the English Unit. Compiles examination results, evaluations and other relevant documentation for use in the selection of candidates. Drafts and submits approved memoranda relating to the recruitment of staff. Liaises with the Executive Office and Human Resources Operations on the recruitment, onboarding and separation of staff.

  • Supports the DGC Executive Office in the performance of administrative duties. Provides the Executive Office with information supplied by the Chief of Section to justify professional staff to be charged against temporary assistance funds or other accounts; maintain attendance records; including overtime, compensatory time and night differential earned by General Service staff; compiles and provides statistics required for programme performance reports, particularly with regard to workload indicators as well as for preparing estimates for DGC budget.

  • Liaises with other offices, such as the Web Services Section and DGC IT service desk, regarding websites, online content and issues related to posting, electronic file management, network administration and other ICT-related issues. Serves as administrator for Section's website, SharePoint site and in Teams. Develops, administers and maintains internal database containing records of all press releases, making sure up to date statistics and information is available.

  • Performs other duties as assigned.

    Education High school diploma or equivalent.

    Work Experience A minimum of seven (7) years of experience in public information, including the production of meeting summaries and press releases, as well as draft typing, copy editing, proofreading and typographical layout for online publication, or related area is required.

    Experience in human resource management, such as recruitment and administration, is required.

    Experience using Office 365 (Word, Excel, Outlook, Teams and SharePoint) is required.

    Experience in basic support, troubleshooting and management of SharePoint sites and teams is desirable.

    Experience using recruitment platforms such as PeopleSoft/Inspira or similar and experience in using Enterprise Resource Planning (ERP) systems such as Umoja/SAP is desirable.

    Experience in web content and database management (Drupal, Access) is desirable.

    Experience in web analytics (Google Analytics) is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required; knowledge of French is desirable. Knowledge of another official United Nations language is an advantage.

    Assessment Evaluation of the qualified candidates may include an assessment exercise which may be followed by competency-based interview.

    Special Notice - This position is available effective as soon as possible for an initial period of three (3) months with possibility of extension. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

  • While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

  • This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

  • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
