PURPOSE OF THE POSITION

The goal of the project is provision of targeted support to forcibly displaced population from Nagorno-Karabakh, including mental health and psychosocial support, case management, referrals and accompaniment, Psychological First Aid, Child focused psychosocial services, such as Child Friendly Spaces, Social cohesion and community integration, provision of information to individuals/families, provision of essential information and counselling. The Project will also provide capacity building to the local professionals introducing new tools tailored to the context.

Project Assistant will support project activities within the Response team, s/he will be based in WVA National Office to ensure smooth and quality project implementation.

The key role of the Project Assistant is to provide the Response Manager and Project Coordinator with critical clerical, administrative and some programmatic support in order to ensure smooth implementation of the award. The position will require close attention to detail, ability to handle multiple tasks and capacity to communicate with different departments within WVA and partners.

MAJOR RESPONSIBILITIES

  • Assist in preparation of requisition forms, acts of acceptance, local and international trip requests, Labor Distribution Reports and other related forms and documents for different programmatic purposes, as well as photocopying and filling all necessary documents,
  • Assist in preparing letters/ invitations and inform/ mobilize partners and stakeholders for participation in project events,
  • Assist Manager and Coordinator in organization of training, meetings, workshops with all logistical details,
  • Assist the project team with maintenance, development and setup of data collected and periodically send relevant information to all stakeholders and partners,
  • Provide written translations of incoming and outgoing letters, project documents, etc.,
  • Assist in organizing and documenting project-related workshops, trainings, including capturing key discussions and outcomes,
  • Support the distribution of project materials, reports and best practices to relevant stakeholders,
  • Contribute to the maintenance of project knowledge management systems, including organizing and archiving project documents and resources.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in relevant field, such as business administration, international development, or related discipline,
  • Prior experience in project coordination or administration is highly desirable,
  • Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint),
  • Fluency in written and spoken English and Armenian,
  • Good knowledge of NGO policies and procedures,
  • Experience of work coordination with diverse teams,
  • Strong organizational skills with the ability to manage multiple tasks and priorities in fast-paced environment,
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders,
  • Attention to detail and accuracy in work, with a proactive and solution-oriented mindset,
  • Ability and willingness to travel domestically up to 10% of the time.
