About the job

The Danish Refugee Council (DRC) has opened the recruitment process for a National Post (with Local salary scale) of the Admin&Logistics Officer within a project that DRC is implementing. Admin&Logistics Officer will ensure that all administrative and logistic procedures are implemented in accordance with DRC standards and applicable policies, as well as Serbian applicable law requirements and donor policies and guidelines.

Position: Admin&Logistics Officer

Period of engagement: 10 July 2022– 31 August 2022 with possibility of extension

Reference: The Admin&Logistics Officer refers to the Head of Support Services and works in close cooperation with the Finance and Procurement, as well as programme staff.

Specific duties and responsibilities:

  • Effectively manage the fleet and persons driving the cars; Provide plans for DRC’s transportation and the driving schedule; Ensure information flow with relevant departments;
  • Purchase of services regarding car fleet (services, parking costs, consumables); Assisting to programs in other program-related purchases;
  • Being responsible for the daily run and safety of the project vehicles; Control and manage the maintenance of equipment and the cost of the fleet (Fuel, Maintenance and repairs);
  • Ensure a proper filing system of all documents specifically admin and logistics documents
  • Ensure legitimate use of office equipment and arrange timely servicing; Ensure physical facility for storage of materials, tools & equipment in the stock/ store and office;
  • Oversee all aspects of administrative support at the DRC office, ensuring efficient operations and procedures.
  • Ensure all office infrastructures are appropriate, safe and functioning (i.e. security system, health and safety, communications, etc.)
  • Oversee all aspects of office maintenance and cleanliness.
  • Ensure insurance plan is in place for all office buildings and equipment, and updated at all times.
  • Maintain and update lease agreements (including related documents) and other office and logistics related agreements and coordinate the respective renewals.
  • Ensure repairs and maintenance of facilities in compliance with DRC standards and procedures.
  • Ensure all utility payments are done on timely basis.
  • Ensure meetings for the senior management team are organised and other administrative support as may be required.
  • Any other duties as requested by Manager.

Qualifications & experience required

  • Minimum High School diploma
  • Experience in similar tasks would be beneficial

Skills and Work Experience:

  • At least up to 1 year of experience in administrative and logistic tasks;
  • Strong organisational potential and skills;
  • Strong planning and problem-solving skills with the ability to work both independently and within a team;
  • Integrity, strong work ethic, and ability to consistently meet deadlines under pressure.
  • Strong interpersonal skills and commitment to learning and implementing organizational policies and procedures.

Key Competencies

  • Ability to work in a multicultural context as a flexible and respectful team player;
  • Problem solving, analytical and writing skills, with the ability to produce reports for internal and external use;
  • Fluency in spoken and written Serbian and English;
  • Computer literacy - strong knowledge of basic PC programs (specifically excel, word, PPT, Publisher and potentially design tools)
  • Driving licence B category with the active driving experience;
  • Knowledge of using social networks as a tool to promote the professional activities would be beneficial
