Overview

Coordinate the Welcome department activities for ICRC staff and guests.

You have:

  • Bachelor's degree in tourism, hospitality management, business administration or any other relevant field.
  • 4 years' experience in the same field of activity.
  • Previous experience in corporate travel management, event management, and team supervision.
  • Previous experience at embassies and/or international organizations is a strong asset.
  • Fluent in Arabic and English. French is a strong asset.

What we do

The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Purpose

Welcome Supervisor 1 coordinates the activities of the Welcome department, ensuring that Welcome arrangements – including pick-up/drop off of ICRC staff and guests, travel arrangements, visas and permits, official registration and accommodation – are organized as smoothly as possible.

Accountabilities & Functional responsibilities

  • Supervises and coordinates the work of the Welcome department.
  • Coordinates and ensures timely pick-up of and appropriate accommodation (hotel, apartment, house) for staff and guests; makes sure that they receive all the information/documentation they need.
  • Interacts with relevant authorities (ministries, consulates, etc.) regarding certificates, visas, permits, registration, etc.
  • Ensures accommodation is safe and suitable to live in; contacts the appropriate department(s) in case of problems.
  • Coordinates and ensures the organization of staff travel (plane, train, bus, etc.) by the most cost-effective means and, if required, coordinates drop-off at/pick-up from airports, stations, etc.
  • Ensures communication between ICRC offices, sub delegations, delegations and/or headquarters regarding staff travel and with participants at events/seminars.
  • Ensures all appropriate databases are kept up to date on staff members, missions and other travel, document validity, residences, and any other relevant information (schools, airlines, telephone numbers, etc.).
  • Negotiates tenders, deals, prices and discounts with service providers (travel agencies, transport companies, hotels, etc.).
  • Supervises, coaches and provides guidance to Welcome staff in agreement with the Administration.

Additional information

  • Job Location: Beirut, Lebanon.
  • Working Schedule: Monday till Friday, from 8 Am till 5 Pm.
  • Contract Type: Determined Period, 1 year (Renewable based on performance and need for position).

Certifications / Education required

  • Bachelor's degree tourism, hospitality management, business administration or any other job relevant field.

Professional Experience required

  • 4 years' experience in the same field of activity.
  • Previous experience in corporate travel management, event management, and team supervision are key requirements.
  • Previous experience at embassies and/or international organizations is a strong asset.

Language

  • Arabic: Fluent.
  • English: Fluent.
  • French: Strong asset.

What we offer

Salary Package: 2,037 - 2,936 USD/Month (As per ICRC salary scale, salary setting processes will determine fair setting in coherence with the qualifications of the applicant and the requirements of the job).

13th Month of salary paid in December, pro rata basis in accordance with the period worked.

Annual Leave: 20 calendar working days of paid leave per year, pro rata basis in accordance with the period worked.

Health Insurance: 90% of premium fees under class B, coverage include: Doctor visits, Medicines, Therapy services, etc.)

International Retirement Saving Plan (IRSP): a contribution valued at 11.5% of your monthly salary, these savings are paid by the end of service as a lump sum.

Other benefits subject to internal rules and regulations: High Cost of Living Allowance (HCLA), Schooling allowance, eyeglasses, designated personal training budget for learning opportunities.
