ORGANIZATIONAL CONTEXT AND JOB PURPOSE

Assets (including light and armoured vehicles, generators and pre-fabs) are essential to deliver our mandate to serve our beneficiaries. And WFP Management Service Division (MSD), in particular Infrastructure & Facilities Management (MSDI) and its Asset Management Unit (AMU), are taking great strides on its new approach to responsible asset management through improved tracking, accounting, policy and guidance.

When new tools and guidance occur, educational materials need to be revised and adapted to accommodate these changes. For this reason, AMU has already worked on re-vamping the training strategy and developed new content for Asset Focal Points (AFPs) and management to meet the changing needs (e-learning courses, handouts, exercises, etc.).

In addition, AMU provides daily support to users, works on various projects and makes great strides in the commitment to maintain the knowledge and skills of a large pool of focal points.

MSDI/AMU is currently seeking a Training Specialist for managing, maintaining, designing, developing, coordinating and conducting training programs.

The incumbent will ensure that developed guidance, manuals and training materials are disseminated and thoroughly explained to users in Country Offices, Regional Bureaus and HQ. S/he will also identify the specific training needs, consolidate requests and under the supervision of the Global Asset Manager, arrange for targeted training, webinars and classroom trainings, when needed.

This position is suited for someone who can work independently and, in a team, has excellent oral and written communications skills, is impeccably structured and organized, technology-savvy, quick to learn new tools and to familiarize with business processes so that s/he can understand subject matter experts.

This position is based in Rome and the incumbent reports to the Global Asset Manager and ultimately to the Chief of the Infrastructure & Facilities Management Branch (MSDI).

ACCOUNTABILITIES/RESPONSIBILITIES:

  1. In coordination with Global Asset Manager and Regional Administration Officers consolidate the training needs and coordinate the execution of the training (e.g. ensure training enrollment, and necessary exercises are set up in the training environment of SAP (if applicable), organize webinar/classroom training, provide trainer and trainees with training packages, potentially facilitate training, data creation and credential management, etc.);
  2. Define a long-term knowledge management and training material maintenance strategy;
  3. Ensure that Learning Journeys are working properly on LMS and develop, and update content in close collaboration with WFP Capability Development Team;
  4. Develop guidance materials, learning aids, practice exercises, etc.
  5. Master relevant Asset Management system functionalities with the capacity to transform technical details into training materials and deliver related training sessions on them;
  6. Facilitate training sessions (classroom, webinar, etc.), among other things System integration, Responsible Asset Management principles, GEMS transaction usage, GEMS mobile, etc;
  7. Establish a long-term, sustainable training programme for main Asset Focal Points (LPEs). Analyze existing training material and work with subject matter experts to assess learning needs, audience and best methodology of training;
  8. Support and assist the Asset Support team with handling and responding to training requests, including assigning Learning Journeys to trainees, and reporting on course completion;
  9. Maintain an updated the list of appropriately trained WFP focal points;
  10. Liaise with MSDI Communication Officer to prepare communication material for the trainings;
  11. Support other units within MSDI with training design, guidance material, etc.
  12. Deliver any other tasks relevant duties assigned by the Global Asset Manager.

DELIVERABLES AT THE END OF THE CONTRACT:

  • Creation and dissemination of all Asset Management training materials as requested by the Global Asset Manager;
  • Establish a long-term, sustainable training programme for main Asset Focal Points (LPEs);
  • Ensure all non-standard GEMS access requests are promptly dealt with;
  • Maintain a calendar of all planned training sessions and ensure timely training support to WFP operations;
  • ACT action points updated, and necessary follow-up conducted to ensure timely implementation;
  • Update structured repositories continuously with the latest training materials and project documents.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

  • University degree (Bachelor’s degree required; Masters preferred) in relevant field preferred such as in Human Resources Management, Capability Development, Adult Education, Public or Business Administration Management, or any other relevant field.

    Experience:

  • Minimum 3 years of professionally relevant, post-graduate training and communication management experience;

    • Experience in Instructional Design;
    • Experience with change management projects;
    • Experience with WFP is an asset.

    Knowledge & Skills:

  • Proficiency in Microsoft 365 (Outlook, Excel, Word, PowerPoint, Teams, SharePoint);

    • Experience with LMS front-end tools (e.g. SuccessFactors);
    • In-depth knowledge of adult learning theories;
    • Project management and organizational skills;
    • Visual design skills (Dreamweaver, Photoshop, Illustrator) are desirable;
    • Experience with authoring tools (i.e. Mohive, Captivate, Articulate, Storyline, etc.) is desirable;
    • Ability to produce high-quality written materials, presentations;
    • Strong creative, problem-solving skills: agile, flexible, proactive and patient; able to work with both in a team and at high degree of autonomy;
    • Good interpersonal and communication skills, ability to perform in a multifunctional team setting.

    Languages:

  • Fluency (level C) in written and spoken English is essential. Knowledge of another UN language is considered an asset.
