Result of Service - Provides general office and technical/administrative support, including accurate and timely production and processing of documents and administrative requirements. Does basic research work upon request. Maintains accurate records and/or data. Appropriately applies relevant policies, guidelines, procedures and processes. Elaboration of legal comments and opinions using existing legal files and alternative sources. - Support in the preparation and services for the following Subsidiary Bodies and Intergovernmental Meetings: 17th Planning Ministers Conference ILPES and 29th Presiding Officers Meeting of the Regional Conference on Planning (January); International Forum on Migration Statistics (January); Sixty-fourth meeting of the Presiding Officers of the Regional Conference on Women in Latin America and the Caribbean Extraordinary (February); meeting of the Conference of the Parties of the Escazú Agreement and Meeting of the Presiding Officers (April); 6th meeting of the Forum of the Countries of Latin American and the Caribbean on Sustainable Development (April); Regional Course on International Law (May); and 1st meeting of the Regional Conference on South-South Cooperation of Latin American and the Caribbean (May)

Duties and Responsibilities Under the general supervision and control of the Secretary of the Commission, the Technical Assistant will continue with the following assignments:

  • Conducts reference searches upon request; reviews material and determines appropriate file classification category; identifies material for inclusion in files; participates in initiatives to enhance existing systems for records management and retrieval, including development of proposals for consideration;
  • Services various committees and other meetings, including assisting in the preparation of pre-, in- and post-session documents, preparation of summaries, notes for the Secretary of the Commission and team members;
  • Provides technical assistance for meetings arrangements and servicing, as required;
  • Reviews, verifies and processes legal instruments, ensuring conformity to relevant guidelines and requirements, including those related to procurement process;
  • Assists in the maintenance of a body of legal reference files, both paper and electronic, to ensure rapid retrieval of critical information;
  • Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required;
  • Conducts basic research on assigned issues, using existing legal files and alternative sources (e.g. computer-assisted searches using the internet, intranet or other databases); verifies facts, identifies citations, precedents, issues to be addressed, etc;
  • Updates distribution lists; assemble documents, reports and other materials using electronic formats;
  • Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards;
  • Extracts key data and update database; monitors requisite follow-up actions, approvals, etc;
  • Maintains internal databases on cases for tracking and trend analysis; generates a variety of standard and non-standard statistical and other reports from various databases and posting of documents on the website.
  • Prepares and reviews communications with the Ministry of Foreign Affairs of Chile and sets up and maintains files/records (electronic and paper);
  • Provides general office support services to help ensure the smooth functioning of an organizational unit
  • Performs other ad hoc duties as assigned

    Qualifications/special skills Academic: High school diploma or equivalent. University degree is required. A degree in legal affairs related to the job description is desirable. Professional: Basic knowledge of the functioning of an International Organization; experience in paralegal work, general office support or related area. Knowledge in legal affairs in the private or public sector and in international public law will be an asset; knowledge of legal affairs related to the activities of non-governmental organizations is desirable.

    Languages Language knowledge: Fluency in oral and written Spanish is required. Working knowledge of English is desirable.
