- At least 5 years work experience relevant to general office support and administration/project administration support is required.
- Fluency in written and spoken English is required.

Result of Service
The Individual Contractor will ensure the efficient implementation of the two projects by delivering high-quality administrative, logistical, and coordination support. This includes timely handling of complex inquiries, accurate processing of travel and recruitment arrangements, proper filing and archiving of divisional records, and effective liaison with internal service sections. The contractor will guarantee smooth organization of meetings and knowledge delivery events, maintain comprehensive documentation and databases, and facilitate expert participation. Through these efforts, the contractor will contribute to the successful execution of project activities, compliance with organizational procedures, and the achievement of divisional outputs within established timelines.

Duties and Responsibilities
The Individual Contractor will support the implementation of the two projects referenced in the title and perform additional tasks as assigned by the supervisor. Key responsibilities include: • Communication and Coordination o Independently manage complex verbal and written inquiries from internal and external stakeholders related to the two meetings. o Liaise with relevant sections and units within ECA to ensure smooth coordination of activities. • Travel and Recruitment Support o Assist in preparing travel arrangements and processing consultant recruitment-related tasks, including bookings, travel requests (TR), and expense reports. o Coordinate travel-related assignments for missions and facilitate participation of targeted experts in knowledge delivery activities and events. • Records and Property Management o Work with the Knowledge Management Services Section to file previous Division documentation in the record management system and archive records as required. o Liaise with the Supply Chain Management Section and Property Management Unit to arrange the return of unused equipment and furniture. • Event and Meeting Support o Provide secretarial, administrative, and logistical support for meetings, boards, committees, conferences, and special knowledge delivery events. o Maintain electronic participation lists and update participant information for events. o Coordinate with service sections (Conference Services, Travel, etc.) to support the implementation of divisional outputs. • Documentation and Information Management o Maintain organized files (paper and electronic) and databases. o Update and manage distribution lists, participant lists, and documentation for dissemination, preferably in electronic formats. o Assemble and prepare documents, reports, and other materials for global dissemination. o Coordinate courier services and process incoming and outgoing mail and documents. • Administrative and Data Management o Perform a wide range of office support and administrative functions to ensure smooth operations. o Conduct basic data entry and extraction tasks. o Track and monitor follow-up actions as required. • Other Responsibilities o Perform additional duties as assigned by the supervisor.
