Org. Setting and Reporting This position is located in the United Nations Mission Stabilization in the Democratic Republic of Congo (MONUSCO). The Team Assistant will be based in Goma. The incumbent reports to the Head of Administration Unit.

Responsibilities Within delegated authority, the Team Assistant will perform the following duties:

•Provides general office support services to help ensure the smooth functioning of an organizational unit and requests, including drafting routine written responses or routes to appropriate personnel. •Performs a wide range of office support and administrative functions. Responds or drafts responses to routine correspondence and other communications; uses standard software document processing packages to produce a wide variety of large, complex documents and reports. •Ensures standard word processing package to produce a variety of routine correspondence, receive phone calls and visitors, and respond to routine inquiries and information. •Performs service written products for completeness and grammatical and typographical accuracy and maintains files (both paper and electronic) and databases for the work unit. •Maintains calendar/schedules; monitors the change and communicates relevant information to appropriate staff inside and outside the immediate work unit. •Conducts reviews of spare parts/materials request lists received from different regions, initiates the acquisition process, prepares the distribution lists for all deliveries of the good’s purchase orders received in the mission, and creates notifications for spare parts/materials shipment to different regions if necessary. •Assists in the Service Entry Sheet (SES) processes for payment of services provided to the Transport section in all the missions. •Assists in itemized lists of spare parts materials for Delivery at Place (DAP). •Prepares and processes Low-Value Acquisitions for the requirement of local spare parts, follows up with the Finance and Procurement offices to settle any outstanding issues, and Initiates requests for creating the product identification (PID) for spare parts and materials. •Performs any other tasks that are required.

Education High school diploma or equivalent is required.

Job - Specific Qualification A national type B driving license is required.

Course work/training in human resources management are desirable.

Work Experience A minimum of three (3) years of progressively responsible experience in general office support, work with Microsoft Office, vehicle spare parts acquisitions and analysis, with an organization or company are required.

Languages English and French are the working languages of the United Nations Secretariat. For this position advertised, fluency in oral and written French and English is required.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
