Org. Setting and Reporting The post is located in the Programme Office in Maldives (POMDV) with duty station in Male, Maldives, Regional Office for South Asia (ROSA), Division for Operations (DO), United Nations Office on Drugs and Crime (UNODC). The Team Assistant will work under the broad authority of UNODC Representative of ROSA and the direct supervision of the Programme Officer (Terrorism Prevention) of POMDV in Maldives. The Team Assistant will also receive guidance from the Assistant Programme Officer (GMCP, Indian Ocean East Programme) and guidance from the Chief of the Implementation Support Section (ISS) I, Terrorism Prevention Branch (TPB), Division for Treaty Affairs (DTA), United Nations Office on Drugs and Crime (UNODC) in Vienna, Austria.

Responsibilities Within assigned authority, the Team Assistant will be responsible for the following specific duties:

  • Perform general administrative tasks related to the organization of meetings, including leave and attendance recording, arrangements and reservations with vendors such as hotels and/or catering companies, and follow-up on budget-related issues.

  • Prepare and/or process administrative requests/documents such as requisitions, purchase orders, travel requests, contracts, expenditure authorizations, and visa applications.

  • Assist in consolidating specifications for the procurement of specialized equipment linked to UNODC projects, in coordination with programme officers.

  • Research, retrieve and present information from a variety of internal and external sources on sources of supply, vendors by commodity, etc.

  • Process and monitor payment to vendors for goods and services, ensure timely closure of all open commitments.

  • Maintain records of finance documents such as bank reconciliation, financial transaction and certification of expenditure reports.

  • Assist in drafting and preparing official documents including bid evaluations.

  • Assist relevant officers in the processing of more complex, higher value purchasing operations. Coordinate distribution of pertinent documents to concerned parties, ensure appropriate follow-up action, etc.

  • Maintain project records, documents and correspondence.

  • Maintain the project inventory. Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

  • Assist with visualizations and updating information material such as web pages or brochures.

  • Perform other work-related duties as assigned.

Education High school diploma or equivalent. A recognized first-level university degree (Bachelor’s degree or equivalent) may be accepted in lieu of two years of required work experience.

Job - Specific Qualification Passing the Global General Service Test (GGST) is a prerequisite, i.e. is required, for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application. The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization. Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

Work Experience A minimum of three years (or one year in combination with a first-level university degree (Bachelor’s degree or equivalent)) of work experience in programme or project administration, including finance, budget, accounting, administrative services, or related area is required.

Work experience in Microsoft office tools including spreadsheet and word processing applications is required.

Work experience with an ERP system is required.

Work experience with SAP/Umoja is desirable, in particular work experience in grants, supplier relationship or fund management modules.

Work experience within the United Nations system or similar international organizations is desirable.

Work experience with technical cooperation projects is desirable.

Work experience in performing and completing procurements is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of Dhivehi is desirable. Knowledge of another United Nations official language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise and a competency-based interview.

Special Notice This position is temporarily available for a period of nine (9) months. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.
