Job Description

Job Overview/Summary:

The Systems & Data Coordinator manages client-based support systems and data management for all federal and private grants for the Atlanta, Miami, and Tallahassee offices. The primary responsibilities for this position are training/supporting staff with client systems, managing all client data, and maintaining related systems in accordance with IRC HQ and external donor regulations. The Systems & Data Coordinator will work closely with the HR & Systems team to ensure staff are trained and equipped to provide client services. This position will report directly to the HR & Systems Manager.

Responsibilities:

Data Management

· Prepare and/or review data sets and reports for internal and external stakeholders.

· Assist in maintaining compliance-tracking metrics and databases used for monthly reporting.

· Provide data (inputs, outputs, outcomes, etc.) for grant development and reporting purposes, developing programmatic dashboards, and quality assurance systems.

· Manage the client digital client filing system to ensure all client documents are securely and correctly stored in correct client files.

· Complete quarterly unduplicated client counts by working with Program Managers and Site Leads.

· Assist Compliance Coordinator with data and system request for external monitoring visits and audits.

Systems Management

· Develop onboarding processes for all new staff on client-based systems (IRIS, ETO, WEB-RS, RPGIS) and lead regular refresher trainings based on systematic updates.

· Conduct weekly open office hours to assist staff with all systematic problems.

· Troubleshoot system related problems with staff to ensure they are well equipped to perform their job duties.

· Act as IT focal point for all three offices to assist staff with IT equipment requests, IT issues, and training with new technology.

· Other duties as assigned.

Job requirements:

· Bachelor’s degree is required, preferably with an IT or Business-related degree.

· Minimum 2 years of related experience required, with a demonstrated record of success in maintaining data and assisting with audit preparation preferred.

· Excellent computer skills are required - especially MS office suite, email/internet software

· Experience with IRIS, ETO, RPGIS, and Sun systems is strongly preferred

· Experience with the Reception & Placement grant, Match grant, and Preferred Communities grant preferred.

· Highly organized self-starter with demonstrated problem-solving and follow-through ability, and proven success in managing multiple and diverse priorities/projects under pressure

· Excellent communication skills

· Proven ability to work as a team member in a cross-cultural environment

· Ability to maintain confidentiality as it relates to sensitive employee and client data.

· Ability to prioritize and manage time effectively

· Attention to detail, critical thinking skills, and ability to work independently.

· Good research, data management, and statistical analysis skills.

· Fluent in English, written and spoken.

Working Environment:

· A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
