Overview

Support DRC operations and manage fleet and logistics effectively.

You have:

  • Relevant university degree in Logistics and/or Supply Chain Management or equivalent professional qualification.
  • Good understanding of procurement rules and regulations of major international donors.
  • Excellent command of MS Word, Excel, and PowerPoint.
  • Proficiency in written and spoken Ukrainian language.
  • Intermediate English speaking/reading/writing.

Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.

DRC has been operating in Ukraine since 2014, currently DRC employs over 400 staff in Ukraine and will continue significant scale-up in 2023 to implement emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

Overall purpose of the role:

Supports DRC operations and activities, ensuring the efficiency and effectiveness of all motorized assets. Responsible for procurement of goods and services as per assigned tasks and logistics functions at the level of the Chernihiv office (storage, warehousing, transportation, etc.)

Fleet management

▪ Systematic improvement of overall efficiency and productivity

▪ Tracking and monitoring of fleet consumables, fuel, and the availability of quality spare parts

▪ Careful tracking of the vehicles' location, including DRC staff, consultants, volunteers and visitors

▪ Assistance in ensuring the efficient fleet operations in Chernihiv and Sumy offices

▪ Ensuring visibility and reputation of DRC on the road and concern for public safety

▪ Accident prevention and management

• Participation in the support of fleet management and its operation

• Assistance in recruitment, training, and capacity development of drivers

• Participation in the organization of vehicle rental

• Participation in drivers' recruitment

• Support of drivers in preparation of monthly fuel consumption reports

• Inspection of transport logs and monthly reports

• Reduction of total cost of ownership (TCO) by providing the best technical solutions related to the sourcing and operation of vehicles and generators

• Ensuring the safety of personnel by providing reliable transport, driver training, and a conscientious approach to road safety and the movement of personnel

• Control over regular maintenance of vehicles

• Checking vehicle insurance policies

Warehouse management

• Organization of warehouse support following DRC rules

• Receipt and delivery of goods, maintenance of relevant lists by lots

• Storage, packaging

• Accounting

• Unloading the loading of goods

• Working with a hydraulic trolley

Management of fixed assets

• Receive assets from suppliers, check them, issue them to employees, organize storage and proper use

• Constantly update the list of fixed assets

• Conduct a physical inspection of assets at least once every six months

• Ensure proper labeling of assets

Procurement

• Filling out journals and records accurately and on time (no later than five working days)

• Ensure proper drafting, signing, scanning, uploading to cloud storage, and archiving of hard copies of documents

• Perform operations using the Dynamics ERP system

Other duties

• Cooperation and coordination with the financial department

About you:

• Good understanding of procurement rules and regulations of major international donors

• Excellent command of MS Word, Excel, and PowerPoint

• Knowledge of the English language is desirable

• Fluency in the local language

Education:

  • Relevant university degree in Logistics and/or Supply Chain Management or equivalent professional qualification

Languages: (indicate fluency level)

  • Proficiency in written and spoken Ukrainian language
  • Intermediate English (speaking/reading/writing)

Additional information:

  • Contract length: 12 months with the possibility of renewal depending on the effectiveness and funding of the program. Preliminary 3-month trial
  • Start date: As soon as possible
