Duties and Responsibilities

This position is based in the United Nations Mission in South Sudan (UNMISS). It is located in the Centralized Warehousing Unit. The Supply Chain Assistant performs functions related to improving stock accuracy. The individual will have accountability over improving accuracy within the Warehouses and driving processes and systems and strategically plan and work collaboratively to make impactful change. The position will also assist with ensuring that the surge in operations leading to elections in South Sudan are managed optimally. The Supply Chain Assistant reports to the Chief Centralized Warehouses Unit and carries out the duties of Physical Inventory Reconciliation, Cycle Counting and Optimization of inventory in Centralized Warehouses Unit. 1. Monitor stock of supplies in the stores. 2. Perform the quality check of physical materials that include but not limited to: • Equipment and Asset Account Assignment mismatch • Asset Master Validation Report • Identifying Equipment without Asset Records • Identifying Equipment with invalid Physical Verification date • Identifying Equipment with invalid serialization • Accuracy of Equipment Master Data using such as Status conflicts, missing CONDITION/FLOC/SLOC/ACCOUNTABLE USER/AG/FC, etc. • Write-Off Notification with Missing Case Type • Assets below Capitalization Threshold • Asset and Notification Quality Checks • Inconsistencies that can be summarized as follows: Duplicated assets – duplicate asset records for the same item; Assets not capitalized – assets with zero capitalized value; Assets with invalid EOI; Assets that have been deactivated without a corresponding notification; Write-Off Notifications which have been approved but asset has not yet been derecognized; Write-Off Notification has not yet been approved but asset has been derecognized. 3. Perform cycle counting in facilities with a high degree of inventory accuracy. 4. Conduct verification of Product ID in the system and in the event that the required PID does not exist in MDM catalogue, submit the request for amendment. 5. Conduct regular stock taking of expendable items in the warehouses and prepare reports on discrepancies observed. 6. Inform Warehouse Supervisors on supplies which require stock replenishment in a timely manner. Ensure the items in the warehouses are arranged in an orderly manner. 7. Update stock cards for acquired products. 8. Assist in weekly reconciliation of receipt and issues in order to confirm that nothing is being misappropriated. 9. Assist with ensuring implementation of the internal control systems including accounting, report, and maintenance of all electronic records to ensure proper audit trail. 10. Receive Technical Evaluation Report on damaged property or property which has become obsolete and raise request for write-off in Umoja to facilitate submission to the Local Property Survey Board (LPSB) by Claims Office; Ensure that property approved for write-off and disposal is handed over to the Property Disposal Unit (PDU) in a timely manner. 11. Perform other duties as assigned by the Chief Centralized Warehouses Unit. 12. Perform other duties and related tasks as assigned by the supervisor as may be required by daily operations.

Qualifications/special skills

High School Certificate or Diploma in supply management is required. A minimum of eight (8) years of experience of progressively responsible experience in inventory management, procurement, logistics, project management or related area is required. Experience in Umoja Warehousing Module is required. Experience in supporting services for international peacekeeping or military operations is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in oral and written English is required.
