Job Description

Deployment Scope The Supply Chain Assistant will focus on low-value procurement and other program support activities, asset and office equipment management, interaction with the warehouse and partners regarding the arrival and shipment of goods under the direct supervision of the Supply Chain Officer. Responsibilities Procurement of materials and service:

Procures materials and services in compliance with IRC procurement policy and procedures.

Ensures that the procurement system is conducted and organized in accordance with IRC Procurement SOP’s

Prepare and initiate the payment process by organizing appropriate approvals on the Payment request form attached purchase Requisitions, original Invoices, Pro-forma Invoices, copies of purchase request memos, contracts, or any other written agreement of services or items supply Ensures quality, quantity and timely delivery of procured materials and timely completion of small contracts. Provides local materials and services price information to department. Makes the purchase of stationery for the office in accordance with the MPA, the preformed order is received from the admin office. Support management in coordination with the Finance department the payment tracker to vendors. Support Warehouse Manager and Supply Chain Manager for any inventory, logistics, procurement, payments and researching exercise.

Asset and Office equipment management: Ensures proper recording and labelling of assets. Ensures proper utilization of assets. Managing local and national offices ASSET list, support on global asset list registration.

Ensures proper transfer and recording of equipment and office machines/computers and others, furniture etc. from one person to the other.

Warehouse management:

In cooperation with the Supply Chain Specialist, control and track all receipts and deliveries from warehouses and local (office) warehouses. Maintain all necessary documentation related to issues and storage. Receive and organize goods in the warehouse. (physical activity) Provide all necessary support to programs as needed during distribution or releases. Participate in weekly supply chain meetings to have a clear understanding of all information related to storage in our warehouses. Others: Perform other tasks assigned Supply Chain Officer arising from the needs of the organization. Cooperates with all departments and works closely with Sr. SCС in executing supply chain activities at the office level.

Demonstrated Skills and Competencies:

Ukrainian (Russian), English written and spoken. Competent with using computers, especially Microsoft Office Word and Excel spreadsheets and Outlook. General knowledge of Warehouse procedures and tools. Strong sense of personal integrity. Attention to detail and ability to multi-task. Team spirit and problem-solving abilities. Excellent interpersonal and communication skills. Remains productive when under pressure. Demonstrates a systematic and efficient approach to work. Relates and works well with people of different cultures, gender and backgrounds.

Demands to the previous experience: At least 2 years in supply chain, logistic, warehousing or procurement Previous experience in NGOs will be an advantage.

Demands to the education: At least a Molodshy specialist (college) degree in the economy, logistics, or transportation. Higher education will be an advantage.
