This position is placed in the Emergency Coordination Unit (ECU) at UNICEF’s Supply Division.

The ECU provides oversight, technical guidance and support to country and regional offices engaged in preparedness for, or response to, emergencies. The Centre coordinates within SD relating to emergency orders, shipments and anticipated needs. The ECU also provides training and capacity building support in emergency preparedness and support through multiple training programmes. Emergency preparedness is a key focus area in the new OMP 2022-2025.

How can you make a difference?

The Supply and Logistics Associate performs highly skilled work on UNICEF supply chains, and manages the more complex cases and client requests, which frequently requires the evaluation of difficult situations and adaptation of procedures and processes to resolve such cases. This is the senior GS level for specialized supply chain work and requires advanced specialized knowledge acquired through formal training and experience.

The function is characterized as highly independent and provides opportunities for Associates to lead and carry out responsibility for end-to-end supply chain management from the beginning to the end of the process and provide input into the design and development of improved supply chain services and delivery mechanisms.

Summary of key functions/accountabilities:

  1. Support supply emergency preparedness and response activities
  2. Support product innovation and market shaping initiatives for specific categories of supplies and services.
  3. Liaise with clients in planning procurement and contracting initiatives, supporting development of appropriate specifications, terms of reference, and logistics arrangements and timelines. Take into account opportunities to strengthen sustainability of supply chains.
  4. Keep stakeholders/partners informed on the progress. Ensure timely follow-up on delivery schedules Implement appropriate performance reviews.
  5. Provide logistics input to supply plans submitted by country offices, including advising on infrastructure constraints (e.g. customs clearance, port capacity, transport options and warehousing capacity) and different delivery mechanisms. Advise on budget requirements for various delivery modalities, and ensure establishment of budget with clients.
  6. Use supply dashboards to ensure pipeline monitoring and establishment of appropriate logistics capacity. Monitor progress of offshore and Direct Orders.
  7. Perform research, collect data and conduct analysis, produce reports and ensure information accuracy in corporate systems to enable informed decision-making.
  8. Reviews and evaluates incoming sales orders, supply requisitions and including emergency requests to ensure quality and adequacy of information, specifications, appropriateness of requests, quantities, shipment, delivery dates, budgets.
  9. Monitors the status of Country Offices emergency and procurement service orders and center specific KPIs. Pro-actively follows up on placed orders and deliveries with all parties concerned in order to ensure timely and safe delivery of goods.
  10. Communicates and transmits all relevant information to customer including changes to planned deliveries, to facilitate delivery and customs clearance of shipments. Prepares and provides timely and regular status / monitoring reports to customers.
  11. Prepares statistics for presentation, submits regular reports.
  12. Provides support to preparedness forecasts and activities

To qualify as a champion for every child you will have…

Required:

  • Completion of secondary education
  • At least 6 years’ experience in supply management, including procurement and logistics activities in emergency environments.
  • Fluency in English.

Desirables:

  • Technical or university courses related to supply chain, business administration, contract/commercial law, or another relevant technical field.
  • Understanding of development and humanitarian work
  • Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or Danish.
