JOB PURPOSE

To handle receipt/dispatch and verification of commodities in order to maximise quality of warehouse operations and mitigate losses, and to support the best storage management practices in compliance with WFP warehouse standards and established guidelines.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of Logistics Assistant and overall supervision by the Head of Area Office in Lashio Office, the incumbent will perform the following duties: -

  • Receive and dispatch all the food and non-food commodities of WFP and other UN agencies as SLA agreement.
  • Report on the quality, quantity of the received commodities and ensure that quantities dispatched as per consignor’s documents match with quantities received and endorse documents.
  • Maintain clean and pest-free storing conditions.
  • Ensure good warehousing practices.
  • Supervise the off-loading and stacking of the commodities, follow up tracking of the commodities in pipeline and report the same to the appropriate personnel.
  • Maintain records and/or ensure that assistants assigned to the various store records of the food stuff offloaded/loaded at the warehouses, adhering to the WFP systems.
  • Control incoming goods both food and non-food commodity by such methods as physical counts, random weight checks, rejection of any spoiled commodity, reconditioning of underweight bags, etc.
  • All Warehouse activities good function in the LESS system such as food receiving, dispatching, repacking, restacking, recondition, reconstitution etc. Then check and sign in these documents.

  • Deliver goods on request against official and approved documentation.
  • Keep updated records on stack cards, and/or computer inventory lists.
  • Make periodic physical inventory checks.
  • Liaise with field staffs and others on matters pertaining to logistics.
  • Report on and, in consultation with others, take appropriate action for the disposal of spoilt commodities.
  • Assist to LA to search and collect data for local market survey, update the transporter shortlisted.
  • Assist in providing storage service for partner UN agencies and share monthly NFI stock information.
  • Monitor and review the HEB movements such as deliveries, storage, transport and distribution at township and school level and verity if the HEB amounts received and distributed have been properly recorded.
  • Provide overall supervision and training or on job training of CP storekeepers, education department staffs (township & school level) and casual labour.
  • Perform other appropriate duties as may be required and requested by supervisors.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. Experience working in travel management is an asset. Previous experience working with UN is a strong asset. Language: Intermediate in both oral and written communication in English and Myanmar languages are required. Communicable in local dialect at the duty station will be an added advantage.

• Experience using logistics databases to extract routine reports. • Experience in managing warehouses with food and NFIs. • Experience in managing inventories. • Experience in processing invoices.
