Org. Setting and Reporting The position is located in the Division of Administration, Human Resources Management Service (HRMS) in Management & Communication Unit of the Center for Learning and Multilingualism (CLM), at the United Nations Office at Geneva (UNOG). The incumbent reports to the Training Officer.

Responsibilities The incumbent will be responsible for the following duties:

Management and Communications programme support

Training-related activities - Drafts project outlines on M&C activities and services for GS and P staff. - Provides support for in-person, virtual and blended learning programmes to managers and supervisors and staff at large. - Direct and/or provide information to staff in the areas of work shadowing, lateral assignments, job rotation, job swaps. - Participates and represents UNOG/CLM at the meetings upon request by the Chief of the Section. - Liaises with HR colleagues from UNHQ and other UN organizations in Geneva - Provide logistical support, including room reservation, preparation of training materials, etc. - Helps coordinate various working groups, such as Training Focal Point and cross-functional teams working on certain #NewWork initiatives

Promoting M&C activities - Ensures timely marketing for the M & C Unit, which involves preparation of the M & C Calendar of Activities and manages the content of the unit webpage. - Creates communication on the CLM website to inform staff members of the M&C learning services. - Drafts all correspondence necessary in English and French.

Reporting - Provides assistance on reporting requirements and ensure completeness and accuracy of data submitted (e.g. CLM statistics) - Generates background materials/notes when requested by the Training Officer and/or Chief of the Section.

Budget related to M&C - Generates reports to client organizations, liaises with them on the accuracy the participants to be billed. - Perform cost recovery through Umoja service delivery module and ensures that revenues are properly recorded. - Provides guidance to staff members on issues related to service delivery

Manages and coordinates workshops and programs such as:

  • The Pre-retirement seminar, Orientation Programme for newcomers, Managing Hybrid Teams, adoption of Agile methodology, coaching programme, etc.
  • Creates the activity in Inspira and liaises with the speakers, as appropriate.
  • Facilitates workshops, ensures the evaluation of the workshop and analysis of the results.
  • Handles all the correspondence and all communication with Office of Human Resources Management (OHRM), focal points, candidates and speakers.
  • Enters statistics into appropriate databases and issues statistical reports.
  • Liaises with consultants to schedule facilitation dates and responds to all inquiries or needs.
  • Designs invitation flyer used for broadcast.
  • Promotes the programme to our clients.
  • Liaise with various key stakeholders and partners
  • Schedule workshop sessions.
  • Administer the registration process.
  • Creates participants’ handouts using documents provided by UNHQ and sends them electronically to the participants
  • Reviews and updates the status of expenditures.
  • Reviews and prepares budget for the approval of the training officer.
  • Drafts Terms of Reference for consultancy and/or third party vendors and perform related Umoja transactions (e.g. requisitioning, procurement and payments)
  • Fills security badge form for the consultant.
  • Ensures the evaluation of the workshops and analyses the results.

Education High school diploma or equivalent is required.

Job - Specific Qualification An International Computer Driving License (ICDL), Start Level is desirable.

Work Experience At least seven (7) years of experience in training or administrative field is required.

Out of these seven years, three (3) years of relevant working experience within the United Nations Common System is desirable.

Experience with an ERP system such as Umoja, Inspira or similar is desirable.

Experience working on training and staff development is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English or French and knowledge of the other is required.

Assessment Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.

Special Notice - This position is temporarily available until 31 December 2022 with a possibility of extension.
