Job Purpose

The Sponsorship Business Process Officer is responsible for receiving, sorting, tracking, packaging and sending all mails and other correspondences [Hard copy and e-Letters, Parcels, Child Expression Worksheets, Child Greeting Cards and GN notifications] from the NO to the APs and back to sponsors and Support Offices via Horizon, postal and courier systems for effective sponsors engagement and efficient communication with children, sponsors, Support Offices and communities. The Sponsorship Business Process Officer works closely with the Sponsorship Manager to address gaps identified through Sponsorship Operations Indicator (SOI) data and programming analysis to achieve sponsorship excellence.

Receiving, sorting and tracking all incoming and out-going designated mail, GNs, Support Office/ Sponsor queries. parcels and other child correspondences from emails, Post Office, courier services and Support Offices.

Timely dispatching of all mails, parcels and other correspondences received from the post office, courier services and Area Programs to their designated locations

Facilitate sponsorship marketing by accounting for change within the programmes. Aid the prompt resolution of queries, timely response to all correspondences and requests from the Region, Support Office and Global Centre so that the coordinated programme areas assigned become adequately responsive to sponsorship stakeholders.

Receiving, acknowledging, tracking and reporting on Gift Notifications (GNs) from Support Offices and ensuring all GNs are processed within the sponsorship standards.

Ensuring all mails, parcels and correspondence received from the Support Offices and Area Programs are processed accordingly and meet sponsorship standard.

Follow up with field teams on all pending current correspondences to ensure all correspondences received and sent to Area Programs are responded to within the sponsorship standards.

Provide subject matter expertise and ensure regular review of performance trends using periodic reports including, SOI and monthly correspondences reports and tracking.

Interpret implications and advise key areas for functional and line management action on specific issues and addressing key performance gaps

rovide analysis interpretation of CMS, SOI and AP sponsorship performance data with Sponsorship lead, Cluster Program Managers and AP teams for appropriate follow up and action.

Interpret implications, identify emerging issues, reconcile performance status and advise key areas for functional and line management action.

Monitor Horizon system reports and identify potential risks, coordinate risk mitigation efforts and develop support plan. Monitor and report on progress against corrective and management actions.

Generate and prepare weekly, monthly and quarterly Correspondence reports for all Area Programs and share with sponsorship lead.

Support sponsorship capacity building trainings, modules and resources for Clusters and APs for delivery of quality Sponsorship.

Provide support to all Clusters and APs to ensure key sponsorship business processes (quality, performance, capacity building, RC portfolio, child monitoring, risks and reporting) are prioritised, measured and monitored

Participate in training of Sponsorship personnel, interns and new employees on sponsorship business processes and systems to enhance staff capacity.

Receive and process all requisitions for Area Programs in need of stamps, envelops and correspondence related materials.

Manage stock, and record cost of stamp used per Area Program ensuring report is easily generated and shared.

Monitor and provide oversight, supervision and coordination of sponsorship business processes thereby enhancing efficient RC management and child monitoring within the programmes

Support the sponsorship manager to regularly review and contextualize sponsorship business process.

Key Requirements

  • Degree in social sciences or any other related field
  • Degree in Information Technology and or Data processing is an advantage.
  • Two years working experience in NGO and any related field preferably relating to children.
  • Good understanding of child protection and child rights
  • Good knowledge in English and at least one local language. Ability to work in difficult terrines and to cope with stress.
  • Must be a committed Christian, able to stand above denominational diversities.
  • Attend and lead in daily devotions.
  • Skills in Microsoft package, power point presentation is an advantage.
  • Perform other duties as required.
  • Should have a good understanding of child protection and child rights issues
  • Good communication skills desired.
