Org. Setting and Reporting

-This is a vacancy in the General Service category for which local recruitment procedures shall apply, in accordance with the Staff Regulations of the International Bureau of the Universal Postal Union. Candidates shall be solely responsible for any travel or other expenses incurred in order to participate in the recruitment process or, upon selection, take up the appointment. Staff members subject to local recruitment shall not be eligible for the allowances and benefits exclusively applicable to international recruitment. - With its 192 member countries, the Universal Postal Union (UPU), a specialized agency of the United Nations, is the primary forum for cooperation between postal sector players. It helps to ensure a truly universal network of up-to-date products and services.

Responsibilities

Ensure the sound operation and updating of the WNS website, which records the stamps issued by member countries and territories, and manage associated activities. Participate in the running of philately workshops and in the organization of stamp exhibitions. 1. Management and operation of the WNS – Register new stamps and associated products (booklets, coils, miniature sheets) issued by designated operators, and check their authenticity. – Translate or request the translation of stamp motifs into French and English on the basis of the relevant technical information sheets and models. – Record issued stamps on the WNS website (www.wnsstamps.post) and produce certificates. – Ensure the distribution and archiving of the digital certificates of stamps registered. – Check the availability and accuracy of information published on the website. – Manage billing related to the certification of stamps and the services of subcontractors, and oversee the allocation of the expenses associated with WNS operations. – Prepare and manage correspondence and dashboards, and reply to questions sent by website users to [email protected]. – On request, summarize information on visitors to the WNS website (number of pages viewed, most popular themes, visitors by country, by continent, etc.), and distribute it to the WADP Management Committee (a POC group) and the issuing postal authorities of member countries. 2. Stamp exhibitions, philatelic workshops and round tables – Support the Philately and IRCs Programme Assistant and Programme Manager in gathering information on exhibition themes. – Assist the Philately and IRCs Programme Assistant in liaising with owners of stamp collections. – Agree conditions for the lending of collections with the owners (dispatch, transport, customs, insurance, loan agreement). – Make logistical arrangements for stamp exhibitions at the International Bureau and support the Philately and IRCs Programme Assistant during meetings of the Management Committee as well as philatelic forums and round tables organized by the WADP (planning, invitations, logistics, presentation of WNS). 3. Miscellaneous – Document and update, regularly and on an ongoing basis, the assigned activities. – Maintain dashboards and statistics on activities and propose updates. – If necessary and on request, contribute to all activities of the Philately and IRCs Programme. – Prepare reports, questionnaires and circulars relating to the WNS. – Support the Philately and IRCs Assistant. – Stand in for the Programme Manager in their absence and manage the day-to-day activities of the programme.

Education

As a minimum, secondary education (CFC type) diploma (office clerk, business administration, management secretary or similar).

Job - Specific Qualification

Good knowledge of postage stamps and their technical characteristics is required. Knowledge of user functions of the WNS website is required. Knowledge of administrative management is desirable. Knowledge of office tools (Word and Excel) is required.

Work Experience

A minimum of 4 years of relevant work experience is required.

Languages

Proficiency in English or French.

Assessment

Special Notice

Annual salary:(Net of tax) 78,737 CHF - This is a non-core post. This position will be in full compliance with the "Rules governing non-core staff". The selected staff will participate in the UPU Provident Scheme and will be insured together with their recognized dependents against the risks of sickness and accidents. This is a one year contract which can be renewed if the services continue to be required in the future, the funds are available and/or the staff member's performance is satisfactory. However, this appointment does not automatically carry any expectancy of extension or renewal or of conversion to any other type of appointment. - Scheduled date for taking up appointment: As soon as possible. - French is the official language of the UPU.
