The Senior Volunteer Specialist collaborates with IRC in San Diego staff to support volunteer, intern, and AmeriCorps needs. The Specialist will recruit, screen, facilitate onboard overview, and support all recruited volunteers and interns—providing direct supervision to all one-time volunteers. The senior specialist will manage volunteer information in a central database system and ensure quality training materials are available to best prepare volunteers, interns, and others for their work with IRC clients.

Major Responsibilities

Internship Support

- Organize three recruitment cycles (fall, spring, summer) and manage the office-wide application, screening, and interview process. - Ensure assignment descriptions align with staff and client needs and are consistently formatted and posted. - Oversee onboarding and exit process for all interns. This includes processing background checks, setting up and closing IRC accounts, leading general orientation sessions, and managing other situations as needed. - Maintain relationships with all community partnerships in the area (including universities, businesses, employee-volunteer programs, and faith-based organizations).

Volunteer Management

- Coordinate with staff to determine volunteer needs and assist with assignment descriptions and posting. - Conduct quarterly recognition opportunities for volunteers and interns, including planning one annual in-person Volunteer Appreciation event every April. - Evaluate, maintain, and support planning one-time volunteer opportunities (such as for supporting IRC events, Garden Clean Ups, Construction Projects, and other fundraising efforts)— including supporting/ensuring structured onboarding plans, agendas, and workflows.

Outreach

- Conduct outreach, networking activities, informational sessions, and other advertising to recruit and educate potential donors, interns, volunteers, and partners as needed. - Maintain individual files on all interns and volunteers, record and report all intern/volunteer time, and keep accurate electronic records. Coordinate with colleagues to ensure volunteer processing and documentation are tracked. - Update and develop resources to manage intern and volunteer lifecycle. - Supervise community engagement interns or other volunteers as needed.

Other

- Ensure “Open Volunteer Opportunities” are posted and updated regularly. - Work with Program Managers to update quarterly recruitment and onboarding timelines that best meet their business needs. - Provide timely and accurate volunteer hours and mileage to finance and others for inclusion in financial reporting. - Maintain volunteer and intern files; enter case notes and records in database; manage timesheets and timesheet entries each month—ensuring that all hours are updated. - Actively participate in the IRC Communities of Practice. - Other tasks and projects as assigned.

Job Requirements

Work Experience: A minimum of (2) two years of related experience is preferred.

- Proven ability to contribute both independently and as a key team member. - Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively. - Ability to prioritize and juggle multiple tasks simultaneously in a fast-paced environment. - Well organized with attention to detail. - Ability to work effectively in a multicultural setting. - Self-direction and initiative, when needed, to take the lead and to follow through to completion. - Excellent interpersonal communication skills; ability to communicate effectively and diplomatically with current and prospective donors and volunteers, partner agencies, multi-cultural clients, and colleagues on all levels. - Proficient in Microsoft Office applications (Word, Excel, Outlook) - Familiarity with Asana Project Management Software and Salesforce is a plus.

Education: An undergraduate degree from an accredited university or college is preferred, or equivalent experience.

Language Skills: Fluent in English, both spoken and written.

Working Environment

- Standard office environment, including the current hybrid mode of remote work within San Diego County and required in-office days and some 'field' time within the service delivery area to perform the above-outlined responsibilities. Office working environment is subject to change based on organization/business needs; - Office hours are scheduled as Monday-Friday, 8:30am-5pm; - May require occasional weekend and/or evening work; - Must have a valid driver’s license with legally required insurance as position may require using own transportation within the service delivery area. Mileage reimbursement is available.

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
