  • Fluency in both oral and written communication in Siswati and English.

  • Experience coordinating with transportation providers and third parties.
  • Experience leading a team of national staff.
  • Experience assisting in project management.
  • Experience in managing an operation involving warehouses with food and non-food items (NFIs).
  • Experience in preparing and managing budgets.

JOB PURPOSE

To provide a range of specialised support functions and lead a team performing standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the overall guidance and direct supervsion of the Head of Office the Senior Logistics Associate will be responsible for the following:

  1. Contibute towards the development of logistics plans and processes ensuring compliance with wider logistics policies and WFP standards.
  2. Support logistics projects or operational day-to-day activities following standard processes and contributing, directly or indirectly, to the effective delivery of food assistance to beneficiaries.
  3. Collect and anlayze data through research and networking with colleagues to recommend actions to the supervisor to improve perfomance of local logistics operations.
  4. Guide support staff, acting as a point of referral and supporting them with analysis and queries.
  5. Collate data and contribute to preparation of accurate and timely reporting, supporting a WFP wide view of logistics activities that enables informed decision making and consistency of information presented to stakeholders.
  6. Identify and build productive relationships with logistics colleagues and staff within the area of assignment to support an integrated approach to food assistance.
  7. Follow emergency logistics preparedness practices to ensure WFP are able to quickly respond and deploy food and needed resources to affected areas at the onset of the crisis.
  8. Act in an assigned emergency response capacity as required to meet emergency food assistance needs.
  9. Provide coordination support and play a leading role to logistics operations and activities, following WFP Logistics standard processes and facilitating directly or indirectly the effective delivery of food assistance to beneficiaries.
  10. Manage logistics operations including all logistics assets in order to ensure timely and cost-effective delivery of WFP cargoes.
  11. Responsible for the management of the WFP warehouses; Ensure that WFP standard systems are properly maintained at warehouses; Ensure effective food commodity and non-food items (NFI) management; Monitor the quantity and quality of food commodities and NFIs stored, carry out regular commodity; physical random checks/inventory of the warehouse and produce regular stocks reports; Ensure that WFP standard waybills are duly filled.
  12. Manage Logistics contracts ensuring that the Country Office (CO) always have up to date and valid Logistics contracts.
  13. Track Logistics commitments and release Logistics Purchase Orders (POs) for approval.
  14. Based on created deliveries and receipts, approve stock transfer orders (STOs) and track if stock picked in STOs for dispatches is aligned with CO stock movement observing First In First Out and First Expiry and First Out stock management rule.
  15. Conduct portions of financial analysis and budget reviews, drawing out insights and recommending actions to the supersvisor to optimize use of available funds.
  16. Effective Land Transport Storage and Handling (LTSH) management including regular LTSH Matrix reviews; Prepare the reports for the CCTI; Contribute to project documents, including LTSH computation and other budgetary issues.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A Diploma in Transport Economics, Supply Chain, Logistics, Engineering, Business Management or other related field.

Language: Fluency in both oral and written communication in Siswati and English.

Market Analysis, Contracting and Operational Execution Demonstrates ability to collect market information and process and analyse proposals in line with WFP standard rules and regulations in order to deliver efficiently. Warehouse and Inventory Management Demonstrates ability to implement operational warehouse procedures and normative guidance in order to manage WFP’s warehouse, handle inventory effectively through corporate systems, and ensure loss mitigation. Technical Assistance and Coordination Demonstrates abilities to provide basic technical advice and maintain effective (inclusive, collaborative, unified) logistics coordination mechanisms with humanitarian partners and other relevant stakeholders.

CONTRACTUAL INFORMATION

  • This is a one year renewable Fixed Term contract.
  • Net monthly salary range: SZL28,922 - SZL33,839
