BACKGROUND AND PURPOSE OF THE ASSIGNMENT

The Human Resources Unit is launching a roster of HR Assistants (SSA5) to primarily support the HR Talent Acquisition team in implementing the recruitment-related recommendations of the organizational alignment. The position will have a duration of three (3) months to six (6) months. Incumbents are expected to take responsibility for the full range of HR activities within recruitment processes. The position will also support the HR Operations teams on a range of activities related to entitlements and contract management as needed. The position will require strong understanding of recruitment practices and corporate standard guidelines and processes. Incumbents should be able to recommend a course of action within their area of expertise and may provide guidance to other staff.

JOB PURPOSE

To perform a range of HR tasks to support accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client-focused and strategy-oriented HR services. The HR Assistant (SSA5) position is based in Damascus, is part of the Talent Acquisition Team and reports to the HR Officer. The position is based in Damascus.

ACCOUNTABILITIES / RESPONSIBILITIES

  1. Provide support on all recruitment matters including and not limited to: creation of job requisitions, longlisting, preparation and setting up of written assessments, preparation, scheduling and attendance during interviews, drafting of selection reports, and candidate reference checks.
  2. Provide assistance on general recruitment related queries and follow up actions, to ensure consistent and high-quality HR services are delivered to stakeholders and candidates.
  3. Liaise with other internal units/offices on recruitment related matters and provide necessary information in order to enable timely HR services.
  4. Contribute to ensuring that recruitment principles are permanently upheld.
  5. Extract and compile HR metrics on staff recruitment and selection as part of the implementation phase of the organizational alignment to support analysis and reporting needs.
  6. Maintain confidential recruitment records, databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards. Ensure timeliness and accuracy of updates to facilitate preparation of HR metrics & statistics on progresses.
  7. Support in the drafting of HR documentation - technical and for communication purposes - ensuring accuracy and meeting established deadlines.
  8. Support HR Operations in defining entitlements for changes of positions, separation and in drafting letters and communications related to the implementation of the organisational alignment.
  9. Other duties as required.

QUALIFICATIONS AND EXPERIENCE REQUIRED

Education: Completion of secondary school education. A post-secondary certificate in Human Resources is desirable.

Experience: At least five (5) years of relevant work experience in Human Resources with a specific focus in talent acquisition practices. Other relevant experience in different areas of Human Resources (i.e., payroll, HR data analysis, benefits and entitlements, training etc.) is an asset.

Languages: Fluency in written and spoken English and Arabic.

KNOWLEDGE AND SKILLS

  • Thorough knowledge in talent acquisition/ recruitment, sourcing of candidates, and general recruitment practices.
  • Demonstrable research, analytical, writing and communication skills.
  • Team playing and adaptability
  • Capacity to balance competing priorities and deadlines and work under pressure.
  • Ability to work in a multicultural environment.
  • Knowledge of HR frameworks in UN or WFP is an asset.
