ORGANIZATIONAL CONTEXT

The Reports Assistant will perform one’s duties under the direct supervision of the Partnerships and Reports Associate, with functional guidance from the Head of Communications, Partnerships and Reports (CPR) Unit or designate.

The Job holder will demonstrate responsibility and initiative to respond independently to queries with general guidance. The job holder will also collaborate closely with relevant colleagues, particularly the Programme and Monitoring & Evaluation (M&E) colleagues at the Manila Country Office and the Cotabato field office.

JOB PURPOSE

To support the Country Office in donor and corporate reporting on WFP activities, with the goal to i) meet requirements set forth by donors, partners, and the organization and ii) support advocacy efforts of WFP for its activities.

KEY ACCOUNTABILITIES (not all-inclusive)

Operational Information Management & Performance Reporting

  • Prepare regular information and corporate reports to inform current and potential partners, including partnership and advocacy briefs, monthly Country Briefs, Annual Country Reports, presentations, and factsheets.
  • Prepare donor reports, in compliance with specific donor requirements, verifying the coherence of reports with related project proposals and previous reports, as well ensuring the report is written accordingly to a result-based management approach.
  • Liaise closely with all Units to gather and collate accurate data about WFP operations, while ensuring quality of information, coherence and consistency across the reports.
  • Keep track of report due dates and work in collaboration with Cotabato Sub-Office and the Country Office to follow up and ensure timely reporting.
  • Consolidate and analyse data on programme implementation and indicators to facilitate the preparation of periodic reports, drafting relevant, concise, and engaging content.
  • Contribute to the development of quality partner proposals and reports by engaging with other WFP entities and external stakeholders; ensure partner visibility and partner conditions are met.
  • Gather and present internal and external data/information to support WFP’s effective positioning, using key WFP information systems and soliciting inputs from other units.
  • Support in organizing and executing special events, with external partners and media, including donor events, donor field visits, programmatic workshops and seminars. Serve as an information focal point and coordinate events to optimize publicity of WFP’s activities.
  • Coordinate with the communications team to prepare content to increase partner visibility for use on traditional and social media platforms, and printed materials, ensuring consistency with corporate messages.
  • Coordinate the translation of information material to and from Filipino to English, as needed.
  • Design and develop compelling data visualizations; prepare information and briefing documents as required for missions and visitors to field operations.
  • Systematically document, case studies from the field, develop program process and impact factsheets, info-graphs.
  • Document and develop reports on workshops and meetings.
  • Perform any other related duties and responsibilities as required under CPR Unit.

ESSENTIAL MINIMUM QUALIFICATIONS AND EXPERIENCE

  • Education: Completion of secondary school education. A specialization or University degree in communications, international relations, economics, development, or equivalent is preferred but not required.

  • Experience: A minimum of five (5) years of relevant work experience at the national level in providing reporting, communications, partnerships, or similar roles. Knowledge of the UN system is an advantage; previous experience working in international development organizations would be an asset.

  • Knowledge and Skills:

    • Strong written and oral communication skills, including substantive analysis and writing skills.
    • Knowledge of, or the ability to quickly assimilate, UN/WFP-specific processes and systems.
    • Experience using computers and office software packages (MS Word, Excel, PPT, etc.).
    • Demonstrable skills in graphic design, especially experience with Adobe Creative Suite (especially InDesign and Photoshop) is an advantage.
  • Language: Excellent spoken and written communication skills in English is required. Fluency in the local language of the region.

REMUNERATION PACKAGE

WFP offers a competitive benefits package including an approximate salary of PHP43,000 per month, leave entitlements, and comprehensive medical insurance which can be extended to eligible dependents.
