For 70 years, UNICEF has been working on the ground in 190 countries and territories to promote children's survival, protection and development. The UNV will be responsible for supporting the monitoring of UNICEF's partnerships and editing proposals and donor reports. The duties and responsibilities detailed below will be accomplished in support of and coordination with the Partnerships Officer.

Under the direct supervision of the Partnerships Officer, the UN Volunteer will undertake the following tasks:

  • Prepare Grant analysis, donor profiles and briefing notes in preparation of meetings and/or relations with donors.
  • Update and maintain information on all donor and programme reporting requirements and templates. Provide section chiefs with regular updates on these requirements and follow-up as required to ensure the timely inputs of reports to donors.
  • Assist in the Fundraising Taskforce and maintain an up-to-date Fundraising matrix and the reporting status.
  • Develop a system for centralized recording and monitoring system of the Country Office fundraising activities.
  • Provide quality assurance of reports. This includes gathering of information, consolidation, editing, layout and branding of all required reports which include ad hoc proposals, donor interim and final reports and specific thematic reports. Ensure donor reporting SOP are followed. Ensure the templates, donor conditions and final version of reports are properly saved and shared with relevant staff.
  • Support Office reporting requirements and other ad-hoc requests in reporting by editing and preparing quality reports across programmes.
  • Keep track of report due dates and work in collaboration with programmes to follow-up and ensure timely reporting.
  • Ensure the editing and the production of quality proposals across areas and donors.
  • Ensure the primary level of quality assurance before submission to the Management which consist of:
    • For donor reports: verifying the coherence of reports with related project proposals and previous reports, as well ensuring the report is written accordingly to the RBM (Result Based Management Approach) and other key elements as per the established check list,
      • For project proposals: ensuring the report is written accordingly to the RBM (Result Based Management Approach) and integrating the key elements listed in the check list for donor reports, verifying the budget calculations and the allocations of percentages for salaries of staff responsible for the implementation (10-20% of programmable budget), M&E, visibility and operational costs (respectively 2.5% + 2.5% + 5% of programmable budget).
      • Ensure the timely preparation and dissemination of other mandatory and special reports, as well as briefing documents and corporate publications relating to programmed activities in support of UNICEF Togo Emergency responses (i.e: SitReps).
  • In close collaboration with the External Communications section, ensure that the necessary visibility requirements are communicated to the sections and collected timely for reporting and other such purposes. Ensure inclusion of human-interest material in donor reports.
  • Conduct research and maintain up-to-date information on donors for UNICEF CO’s advocacy and resource mobilization information and use. Update and prepare briefing notes and presentations for the donor meetings and field visits as required.
  • Provide training and technical assistance, as required, to staff and partners to improve the overall quality and consistency of reports (focus on English language capacity training).
  • Perform other assigned duties and responsibilities related to donor reporting, fundraising and donor relations

Furthermore, UN Volunteers are required to:

  • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark IVD);
  • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;

  • Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities;

  • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;

  • Assist with the UNV Buddy Programme for newly arrived UN Volunteers;

  • Promote or advise local groups in the use of online volunteering or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

  • Communicates effectively to varied audiences, including during formal public speaking.

  • Able to work effectively in a multi-cultural environment.

  • Sets high standards for quality of work and consistently achieves project goals.

  • Analyzes and integrates potentially conflicting numerical, verbal and other data from a number of sources.

  • Translates strategic direction into plans and objectives.

  • Demonstrates and shares detailed technical knowledge and expertise.

  • Creates organization-wide processes to help ensure that all adhere to procedures and policies.

  • University degree in Political Sciences, Social Sciences, Development, Planning, Communication or a related field

  • Three (3) years practical work experience in the above-mentioned areas or related fields.

  • Fluency in French and English

UN Volunteers should be provided equal duty of care as extended to all host entity personnel. Host entity support to the UN Volunteer includes, but is not limited to: - Introductory briefings about the organisation and office-related context including security, emergency procedures, good cultural practice and orientation to the local environment; - Support with arrival administration including setting-up of bank accounts, residence permit applications and completion of other official processes as required by the host government or host entity; - Structured guidance, mentoring and coaching by a supervisor including a clear workplan and performance appraisal; - Access to office space, equipment, IT support and any other systems and tools required to complete the objectives of the assignment including a host entity email address; - Access to shared host entity corporate knowledge, training and learning; - Inclusion of the volunteer in emergency procedures such as evacuations; - Leave management ; - DSA for official travel, when applicable;

In addition: - Lome is a West African country where the UNV will enjoy the traditional value of hospitality of the country. French is the official language; Mina, Ewe and Kabye are the main native languages - Like many other large cities, Lomé, unfortunately, has its share of criminality. Therefore, you are advised to avoid walking alone and wearing expensive jewelry, watches, etc. while out of the hotel or your residence. It is also advisable to carry your ID card with you. Never take a taxi in which there are other passengers and do not accept to drop you by someone you don’t know. Upon the arrival of the UNV in Togo, a security briefing will be organized with the Security Adviser, UNDSS. - With regards to COVID-19, the Togolese Government has settled strict measures for all travellers such as entry authorization certificate delivered by the Togolese authorities, automatic 14 quarantine days, test COVID upon arrival etc. Detailed measures will be shared to the UNV once the travel date is communicated. - The UNV should make sure to bring his/her vaccination card. Yellow fever vaccination is compulsory for anybody traveling to Togo.
