Duties and Responsibilities

Organizational Setting: The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa, and the Director-General of UNON is the representative of the Secretary-General in Kenya. UNON supports the programme implementation of the United Nations Environment Programme (UNEP), the United Nations Human Settlements Programme (UN-Habitat), and the Resident Coordination System (RCS) globally, as well as other UN offices in Kenya, by providing administrative, security, conference, and information services (www.unon.org). This position is based in Nairobi Human Resource Management Services, Talent Acquisition Unit under the overall supervision of the Chief of Talent Acquisition. Duties and Responsibilities: The Individual Contractor (IC) will perform the following duties: 1. Take Accurate Notes During Interviews/Meetings Listen actively and document key points, questions, responses, and observations to create a reliable and neutral record of proceedings. 2. Prepare Clear and Structured Meeting Notes or Summaries Organize raw notes into a clear, concise format — aligning with organizational style and formatting requirements. 3. Ensure Accuracy and Consistency Verify names, titles, and factual references for correctness. Ensure that the tone remains professional and consistent with UN documentation standards. 4. Maintain Confidentiality and Discretion Handle all records and information with sensitivity, particularly in cases involving confidential HR or interview discussions. 5. Support Report Drafting Where Required Provide well-organized, accurate notes to support drafting teams or supervisors in compiling final reports or interview summaries. 6. Store and Organize Documentation Maintain organized records of all interview notes or meeting summaries in both digital and physical formats, ensuring they are accessible to authorized staff. 7. Liaise with Interview Panel or Team Members Clarify unclear information post-session if needed and ensure all inputs required for documentation are received in a timely manner. 8. Format Notes for Submission Edit and finalize notes in both editable (Word) and PDF formats for submission, aligned with internal templates.

Qualifications/special skills

A high School Diploma is required. The years of experience will be reduced by 2 for candidates who possess a first-level university degree in Human resources. A minimum of Three (3) years of experience in human resource management or report writing is required. Experience working with an international organization is desirable.

Languages

Fluency in oral and written English is required. Working knowledge of another UN official language is desirable.
