The, Water, Sanitation and Education Centre (WSEC) manages global procurement of WASH, Education and Project support commodity group for both regular programme and emergency response ensuring uninterrupted supply of supply emergency listed commodities with no stock out. This post is responsible for warehouse replenishment order of Education products in a timely manner. This is a critical function requiring coordination with different stakeholders as well as close monitoring, follow up ensuring timely delivery of goods.

How can you make a difference?

The Education Unit within WSEC is looking for a Supply Assistant for a temporary position. This assignment is to support the Education team during high workload with competing priorities. This position is primarily dedicated in undertaking warehouse replenishment of Education products. The Education Unit comprises of five (5) staff members responsible for commercial work with (2) two staff in the technical function. The Unit provides and executes procurement in accordance with the UNICEF Rules and Regulations for Educational products both for warehouse replenishment and direct shipments in support of Education programme in UNICEF country offices worldwide. The function of this position is pivotal in ensuring Education products procured in a timely manner in agreement with receiving entity/consignee including establishment of Long Term Arrangements as per WSEC priority timeline.

Under the general supervision of the Contracts Manager in the Education Unit, the Supply Assistant monitors incoming procurement requisitions for own commodity area, plan and issue Purchase Orders and run the Material Resource Planning (MRP)for replenishment of standard stock items in Copenhagen warehouse and appointed strategic hubs.

The primary task is timely execution of order ensuring no stock out of Education products in UNICEF Supply Division Warehouse and its appointed hubs. Coordinates with stakeholders - warehouse centre, quality assurance centre, transport centre and within Education unit in executing all below tasks:

  1. Run Material Resource Planning report (MRP) in SAP twice a week or as per need
  2. Coordinate with Warehouse planning to adjust quantity and material in MRP to optimize shipment volume
  3. Communicate with Long Term Arrangement supplier of relevant products to confirm volume, production lead time, incoterms etc
  4. Issue purchase orders and ensure completeness in accordance with WSEC procurement quota, spot pricing, pre-delivery/in-line inspections, moisture control are embodied in purchase orders.
  5. Collaborate, coordinate with Education Contracting and Technical unit prior to order confirmation to ensure compliance with centre process/guidelines
  6. Timely update of various order monitoring tools, spreadsheets
  7. Provide update on workload and pipeline order in Education Unit meetings
  8. Coordinate with Global Transport Centre, quality assurance centre and other centres as appropriate for daily work related updates to ensure information is shared in a timely manner
  9. Consult, coordinate with supplier, Freight forwarder and Global transport unit to ensure timely shipment and/or delays are communicated
  10. Follow up on pipeline orders with suppliers to track progress while updating status in various consultative meetings and database
  11. Consult with Contracts Manager and contracting team on challenges i.e .price increase, delay, quality related issues
  12. Be proactive in finding alternative product source for surge demand to meet emergency surge demand under the guidance of Contracts Officer and in consultation with Technical Unit to ensure product conformity
  13. Extend support for direct order placement to UNICEF country offices during surge demand
  14. Extend support Draft preliminary commercial evaluation for approval by Contract Manager and thereafter share with Technical unit to initiate Technical evaluation of tender.
  15. Undertake solicitation process to support surge demand, consolidate final Commercial and Technical evaluation for approval by supervisor, thereafter draft submission for Contract Review Committee for view by supervisor
  16. Extend support to Education team as and when required

Requirements:

  • Completion of secondary education
  • Minimum 5 years of proven experience in Procurement related areas, in either private or public sector
  • Experience of working in SAP/ERP system (Vision, FLS) or other modules of SAP
  • Strong knowledge on Public procurement
  • Work independently managing competing priorities with high workload
  • Fluency in English
  • Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residency permit as an extension cannot be dependent on an employment with UNICEF

Desirables:

  • Additional certified training related to procurement, planning and/or negotiation skills.
  • Work experience with public procurement in an international organization
  • Proficiency in another UN language (Spanish, French, Russian, Chinese, Arabic)
