How can you make a difference?

This position is embedded in the Quality Assurance Centre (QAC), where teams have core responsibilities around quality assurance and quality control of supply processes and the products we procure and deliver.

This function plays a critical role both in the quality assurance of products entering the UNICEF SD warehouse and quality control of products directly delivered to partners. The incumbent will be responsible for assisting the Quality Assurance Specialist (pharmaceuticals) in the management of all quality risk management activities related to receiving of pharmaceutical and nutritional products both in the UNICEF SD warehouse and delivered directly to countries. Such activities include Sampling, Testing and Pre-Delivery Inspection (PDI) arrangements for pharmaceutical and nutrition items from initial request to final invoice certification by liaising with contracted third party service providers, detailed review of inspection reports received, consultation with peers, supervisors and/or business units on any issues identified. As successful candidate you also will be required to conduct quality control procedures of items arriving into the UNICEF SD warehouse, support the preparation and implementation of sampling and testing plans in collaboration with the supervisor and in liaison with external laboratories for testing purposes. These tasks represent around 80% of the core responsibilities. Other ad hoc tasks towards mainstreaming sustainability in quality assurance, requests for support from business units and the Quality Assurance Specialist will contribute to delivering on the unit work plan.

Key functions and responsibilities:

Under the guidance of Quality Assurance Specialist, the incumbent will provide assistance in the following:

  1. Facilitate and conduct Goods Receipt inspection of pharmaceutical and nutrition goods received in UNICEF warehouse together with related activities such as:
  • Obtaining, reviewing and filing of Certificates of Analyses for batches delivered.
  • Collect, review and filing of temperature data logger and information.
  • Prepare and file receiving reports in the Warehouse Management System.
  • Maintenance of internal communications as required.
  1. Follow up with suppliers on deficiencies and handling of replacement of rejected items where relevant and ensure that the relevant internal partners stay informed and filing of associated records.
  2. Assist with the preparation and execution of the yearly sampling and testing plan.
  • Monitor sampling need based on the yearly sampling and testing plan.
  • Collect and arrange for samples to be dispatched for testing in collaboration with the external laboratory.
  • Request quotation from the external laboratory and process invoices and keep track of expenditure of laboratory testing.
  • Review of test reports to prepare recommendations on the results.
  1. Arrange Pre-Delivery Inspections as required with internal partners, suppliers and inspection agencies, follow up on sample testing until finished and shipment released, and maintain inspection records.
  2. Create quality views and inspection plans in ERP system for newly created pharmaceutical and nutrition products.
  3. Ensure that GMP certificates and/or manufacturing licenses for pharmaceutical suppliers are up to date and filed.
  4. Ensure that pharmacopeial references are up to date for internal use.
  5. Assist with review of standard operating procedures.
  6. Back-up for sampling and pre-delivery inspection activities of nutrition products.
  7. Support planning and administrative tasks for the Unit.
  8. Support engagements with relevant sustainability work streams, business units with resources and guidance on Environmental and Social Governance industry standards.
  9. Any other relevant duties as required by supervisor.

To qualify as an advocate for every child you will have…

Requirements:

  • Completion of secondary education (with science and mathematics as an advantage).
  • Higher educational qualifications in pharmaceutical, medical or related life sciences will be an advantage.
  • Minimum of five years of practical experience in an area related to manufacture, wholesale/distribution and/or quality assurance of pharmaceutical products.
  • Fluency in English and knowledge in another UN language (Spanish, French, Russian, Chinese, Arabic).

Functional / technical skills:

  • Knowledge of Quality Control and Quality Assurance procedures and practices.
  • Knowledge and minimum of 5 years practical experience in an area related to manufacture and/or wholesale/distribution of pharmaceutical products.
  • Attention to detail and the ability to critically review certificates of analyses and other pharmaceutical related documentation and technical reports are important technical skills.
  • Proficiency in IT software, in particular Excel, Word and Power Point.
  • Use of MS Office applications to generate detailed technical reports and outputs.
  • Knowledge or experience of SAP would be an advantage.
  • Good verbal and written communication skills.
