Org. Setting and Reporting The United Nations Human Settlements Programme, UN-Habitat, is the agency for human settlements. It is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all. The position is in the External Relations & Partnerships Branch of the External Relations, Strategy, Knowledge and Innovation Division (ERSKI) of UN-Habitat in Nairobi.

ERSKI is responsible for strategic planning, programmatic direction and operationalization of UN-Habitat's focal point role for the New Urban Agenda in the UN system and for coordination of Emergency Programmes.

The External Relations and Partnerships Branch is responsible for the development and promulgation of coherent organizational messages that are closely aligned with the strategic priorities, the development and monitoring of the integrated resource mobilization strategy and the management of the resource allocation;

The Donor Relations & Strategic Resource Partnerships Unit is responsible to develop resource mobilization policies, strategies, approaches and instruments for attracting finances from traditional and non-traditional donors and funding partners; to support resource mobilization efforts throughout the organization; coordinate monitor and report on their implementation across the Agency and to support strategic dialogues between the Agency and Member States to assess donor priorities; support good coordinated management of relationship with donors; and to identify opportunities for resource mobilization by carrying our market research and maintaining database of partners and donors at global, regional and national level.

The focus of the position is the administrative support for activities for the External Relations and Partnerships Branch including the Communication Section, Advocacy and Campaigns Unit, Partnerships and Local Governments Unit and Donor Relations and Strategic Resource Partnerships.

The position reports to the Chief of the External Relations and Partnerships Branch.

Responsibilities Within delegated authority and depending on location, the Public Information Assistant may be responsible for the following duties:

•Provides general office support; responds to complex information requests and inquiries; processes, drafts and finalizes correspondence and other communications; sets up and maintains files/records, organizes meetings, monitors deadlines, etc. •Coordinates administrative services, including preparing, monitoring and processing various requisitions, service contracts and payment vouchers, coordinating special assignments and related travel authorizations, etc. •Manages, updates and further develops internal databases; updates web site, to include drafting and editing content; assists in design, development and maintenance of Internet applications; generates a variety of standard and non-standard statistical and other reports from various databases. •Researches, compiles and presents basic information for use in the preparation and production of communications products/services. •Identifies and prepares new material for inclusion in appropriate web pages by: researching various information sources for relevant material and cross-checking information with author offices as required; retrieving and downloading pertinent documentation and other information in requisite programming languages for Web format or inserting into database after determining appropriate categorization; preparing new pages, incorporating graphics as needed, using appropriate authoring tools and necessary programming languages; preparing and updating index of documents; posting documents on the UN web and/or development servers and ensuring the appropriate directory location; checking and testing for multiple browser support, etc •Compiles, summarizes, and presents basic information/data on specific programmes/project and related topics or issues. •Drafts correspondence on core contributions and prepares and updates periodic reports on UN-Habitat’s core and earmarked income , briefing notes, graphic and statistical summaries, accounting spreadsheets, etc. •Monitors and follows up with donor reporting focal points to ensure timely reporting to donors on earmarked grants and provides monthly reports on donor reporting status. •Provides support for the organization of joint and bilateral donor consultations, as well as communications and advocacy events. •Provides guidance/training to junior staff. •Performs other duties as assigned.

Education High school diploma or equivalent. Must have passed the United Nations Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away.

Work Experience Five years of experience in public communication, international broadcasting or related area. Broad knowledge of a range of public information and communication tools, including new media

Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
