Protection Assistant

Duty Station [Khokha -Yemen]

Who are we?

The Danish Refugee Council (DRC) has delivered humanitarian relief and development programming in Yemen since 2008. DRC focuses on supporting refugees, migrants, and people displaced by conflict and natural disasters, working especially in areas with access challenges. DRC engages in protection, emergency, WASH, and mine risk education programming among other sectors, and has hub offices in Sana'a, Aden, Hodeidah, as well as several other locations throughout Yemen.

In response to the critical and constantly evolving humanitarian situation in Yemen, DRC has assumed a leading role in coordinating response at IDP hosting sites. Working at IDP sites involves working together with international and local organizations in order to coordinate implementation of humanitarian activities, support community-based site management mechanisms, and monitor standards, needs, and gaps..

Overall purpose of the role:

DRC is looking for a Protection Assistant to perform various office and field Protection duties to keep DRC protection response running efficiently.

Under the supervision of the Protection Team Leader, the Protection Assistant has a key role within the team ensuring smooth implementation of activities by supporting the field teams. This position will require a wide range of skills, and a pro-active mindset to meet the various needs of the field teams. This will be mainly based in the office with some movements outside the office to follow up on various items.

Sector responsibilities:

  • Data Entry and translations
  • Receive, clean, verify and follow up on weekly activities trackers shared by the colleagues in the team
  • Consolidate the weekly tracker, in addition to preparing a monthly tracker, in accordance with the established schedule of submission.
  • Support with translations of programme documentation upon requests.
  • Administrative/Finance support
  • Raise all PRs on Dynamic system
  • File and organizing necessary project documents.
  • Support the Team Leader with payment requests for Community Centers, Victim Assistance and Individual Protection Assistance related costs and follow up with finance department.
  • Ensure proper administrative procedures are followed by program staff members.
  • Organize and filing necessary payment documents when needed.

Logistic support

  • Follow up Protection logistic orders with logs team- this may require time spent purchasing basic items, following up quotations and checking market prices, and follow-up on their approval by liaising with Finance and operation Departments. Ensuring delivery of items to field teams on requested dates in coordination with logistic team. Maintain and update the Purchase Request Tracker and other trackers as requested by project needs.
  • Support the Team Leader with raising PRs on DDX in addition vehicle movement’s planning and prepare/follow on travel permits for project teams.
  • Upon request of the Team Leader, coordinate logistical arrangements/booking of meetings, workshops, trainings, visits and other events if support to responsible project team members is needed.
  • Support with maintaining an asset inventory of Protection materials in office and in all sites.

Liaison & coordination

  • Build and maintain mutually respectful relationships with protection stakeholders, service providers, local authorities, IDP community members as well as host community members.

Other duties

  • Comply with DRC’s Code of Conduct, program requirements and operational policies always and report any concerns through the appropriate mechanism.
  • Follow weekly work plans for the activities making sure to mainstream protection and comply with humanitarian standards.
  • Assist the DRC protection team with ad hoc tasks, which can include conducting assessments, distributions, and sectorial activities.

  • Perform any other duties assigned by the Protection Manager, in coordination with the Team Leader in order to advance DRC's interventions.

Experience and technical competencies:

  • At least 3 years of experience in protection services or relevant humanitarian action;
  • At least 2 years experiencing supervising staff;
  • Ability to provide technical support, trainings and supervision to assistants;
  • Ability to maintain confidentiality, respect, non-discrimination and safety of clients at all times;
  • Strong written and oral communication skills, effective in representation and liaison with external parties;
  • Strong ability to organize work, meet deadlines, maintain composure, work independently and prioritize work under pressure, coordinate multiple tasks and maintain attention to detail;
  • Excellent interpersonal and problem-solving skills, creativity and flexibility;
  • Flexibility in working overtime when needed;
  • Computer literacy (Microsoft Word and Excel);
  • Willing to collaborate with and support people from different ethnic groups and different religions;
  • Demonstrated interest in humanitarian work and supporting people effected by conflict.

Education :

Experience and technical competencies: (include years of experience)

  • Minimum two years of experience in international and/or local NGO; ideally involved in program or in support functions (logistics, supply etc.);
  • Strong organizational skills;
  • Good conceptual understanding of gender, protection, and human rights;
  • Excellent representation, negotiation, interpersonal, and communication skills;
  • Strong team spirit and ability to work comfortably in multi-cultural contexts;
  • Excellent skills with MS Word, Excel, and PowerPoint;
  • Ability to write reports and briefings in English;
  • Ability to spend extended periods of time in field conditions if required;
  • Ability to come up with innovative solutions to unexpected and challenging problems.

We offer

DRC will offer the successful applicant a contract ending on 31 September 2022, renewable based on both funding and performance.

Duty Station (Khokha-Yemen)

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment. This position will be placed at Band (NMH2), level (1) and will be reporting to Protection Team Leader.
