Org. Setting and Reporting

The position is within the Office of Supply Chain Management Pillar in the United Nations Stabilization Mission in the Democratic Republic of Congo (MONUSCO) in Goma. Goma is classified as a "D" hardship duty station, and it is a non-family duty station. The incumbent will report to the Chief of the Property Management Section.

Responsibilities

Within delegated authority, the Property Management Assistant will be responsible for the following duties: • Assists the Supervisor with planning of the property management operations and monitors progress through statistical analysis of database records and monthly progress reports for the Unit. • Liaises with the Technical Sections, Procurement Section and at the Property Disposal Unit at the mission level on issues related to Inventory Control, Receiving and Inspection, write-off and disposal to include sales and gifting of UN Property. • Update case files in UMOJA/SAP ECC, ensuring the appropriate write-off –Disposal Approvals and Internal Supporting documents are attached to the Service Notifications for Audit trail and verification of accounting accuracy. • Supports the utilisation and enhancement, as required, of the established business intelligence and management tools to monitor and evaluate the overall progress of the Mission's property management. • Mentor, collaborate and engage with junior staff and other stakeholders in UMOJA/SAP roles and activities to improve workflow efficiency in the write-off process. • Prepares accurate and auditable statistical reports for property management in the mission and DOS and drafts correspondence, as required. • Assists the Section's Chief in compiling and drafting the Standard Operating Procedures (SOP) and flow charts relating to all aspects of Property Management activities within the context of the overall mandate of the Unit. • Assists in preparing and disseminating Office of Supply Chain Management (OSCM) quarterly supply chain management performance reports and other business performance materials. • Assists with root cause analysis of issues/problems related to supply chain performance management. • Contribute to developing visualisation tools in the corporate business analytics workspace, compiling data, and building dashboards for management reporting and analysis. • Provide support in analysing end-to-end supply chain management data, develop and run business intelligence reports through deep dive data analysis with emphasis on write-off and disposal timelines. • Mentor, collaborate and engage with junior staff and other stakeholders in UMOJA/SAP roles and activities to improve workflow efficiency in the write-off process. • Perform UMOJA/SAP action in service delivery functions, including Property management, cost allocations, and cost recovery. • Performs other duties as required.

Education

High school diploma or equivalent is required.

Job - Specific Qualification

Qualification as UMOJA/SAP ERP Process Expertise/Trainer is required. Technical training in Claims and Property Survey operations is desirable.

Work Experience

A minimum of 7 years of experience in the field of property management, inventory control, logistics management, supply chain management or related field is required. Experience in Enterprise Resources Planning (ERP) i.e. SAP ECC etc in inventory or warehousing management and logistics execution is desirable. Experience providing services to or in a field operation of the United Nations Common System or a comparable international organization is desirable. Experience preparing summary and analytical reports using SAP Business Object, Microsoft Power BI, or equivalent is desirable. Experience in Property Management functions during the downsizing or liquidation of a large field operation is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required; and working knowledge of French is desirable.

Assessment
