Position: Project Assistant

Term: Full-time (100% workload)

Duration: 1 year with possible extension

Location: Yerevan

Starting date: ASAP

Project Assistant supports the project team in the execution of operational and administrative tasks. The Project Assistant ensures smooth communication between all relevant parties, performs administrative functions, required distribution activities & arrangements, making sure that all project-related aspects are well executed and completed properly.

Project support:

  • Carries out administrative duties related to the project’s implementation
  • Keeps up to date organization's relevant databases
  • Assists in distribution, classification, registration and required tracking processes
  • When required, assists in monitoring and evaluation activities
  • Participates in all project-related activities, tracks progress towards milestones
  • Documents and stores correspondence, documents, and other information in the organization’s Document Management/Storage System
  • Works closely with Project Managers to ensure productivity, and pass critical information to be used in decision making
  • Collaborates with the organization's compliance team to address any issues or concerns
  • Creates schedules, coordinates and arranges meetings, info sessions, and other events, ensures that all participants are invited and well-informed
  • Performs related other works as assigned

Procurement support:

  • Closely cooperates and communicates with Operations department for ensuring project related purchases
  • Becomes familiar with the procurement processes and internal systems used by PIN
  • Downloads invoices from the system, puts the project codes and submits to finance for processing
  • Helps with preparing Purchase request forms (PRF) for the project team´s purchases
  • Supports in obtaining signatures for Contracts

Requirements

  • University degree
  • At least 1-2 years of relevant work experience
  • PC proficiency (Outlook, MS Office)
  • Fluency in Armenian and English, Russian knowledge will be viewed as an advantage
  • Attention to details and ability to remain calm under pressure
  • Ability to plan own tasks, and excellent time management skills
  • Good communication skills, including ability to explain and present complex information
  • Teamworking skills: good interpersonal skills and ability to establish and maintain effective working relations with people in multi-cultural, multi-ethnic environment with sensitivity and respect for diversity
