Org. Setting and Reporting The position is located in the Intergovernmental and Interagency Service in the Office of the Under-Secretary-General, Department of Management Strategy, Policy and Compliance (DMSPC) under the overall supervision of the Chief and direct supervision of the Coordination Officer/Senior Coordination Officer.

The service supports the Under-Secretary-General in the critical interactions and collaboration with member states, the United Nations system agencies and the intergovernmental and expert bodies. The service focuses on facilitating liaison- and relationship-building by, inter alia, establishing processes and tools that facilitate advocacy and by making information on relevant stakeholders accessible to the USG and his/her staff.

Responsibilities Within limits of delegated authority, the Programme Assistant will be responsible for the following duties:

•Assists in the coordination of programme/project planning and preparation work for service initiatives; monitors status of programme/project proposals and receipt of relevant documentation for review and approval. •Compiles, summarizes, and presents basic information/data on specific programmes/project and related topics or issues. •Tracks, records and follows-up on various deliverables and documents. •Registers incoming and outgoing records in the electronic record keeping system. •Reviews documents for completeness and compliance prior to submission for final approval and signature; identifies inconsistencies; distributes documents to relevant parties upon approval. •Serves as focal point for service activities, involving extensive liaison with a DMSPC organizational units to initiate requests, obtain necessary clearances, process and follow-up. •Maintains electronic central filing systems and databases of the service: Secretary-General reports, questions and answers of the ACABQ and Fifth Committee, resolutions and other related documentation. •Drafts correspondence on service-related issues and prepares and updates periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets, etc. •Provides general office assistance; responds to complex information requests and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc. •Provides guidance/training to new/junior staff. •Performs other duties as assigned.

Competencies •Professionalism: Knowledge of policy, processes and procedures in the UN Secretariat or comparable international organizations. Ability to track and report on the status of various deliverable. Ability to organize and retrieve information into repositories, prepare document folders for senior managers, draft and edit meeting notes and other documents. Ability to recognize and highlight important pieces of data and organize documentation into repositories. Ability to handle confidential records. Understanding of the functions and organization of the work unit and of the organizational structure and respective roles of related units. Ability to work well with figures, undertake basic research and gather information from standard sources. Demonstrated ability to apply good judgment in the context of assignments given. Shows pride in work and in achievements; demonstrates professional competence and mastery of subject matter; is conscientious and efficient in meeting commitments, observing deadlines and achieving results; is motivated by professional rather than personal concerns; shows persistence when faced with difficult problems or challenges; remains calm in stressful situations. •Planning& Organizing: Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.

•Technological Awareness: Keeps abreast of available technology; understands applicability and limitation of technology to the work of the office; actively seeks to apply technology to appropriate tasks; shows willingness to learn new technology.

Education High school diploma or equivalent.

Work Experience Minimum of five years experience in Programme Administration or related field is required. Experience drafting and editing correspondence and meeting notes is required. Experience working with MS Office (Excel, Word, PowerPoint, etc.) is required. Experience with collaboration tools such as Microsoft teams and SharePoint, as well as experience supporting virtual meetings using Microsoft Teams, Webex or similar tools is required. At least one year of experience working in UN Secretariat or a comparable international organization is desirable. Experience working with member states and senior officials is desirable. Experience organizing and managing data is desirable. Experience handling confidential communication is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice Appointment against this position is subject to budgetary approval and funding availability.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application. Having passed the Administrative Support Assessment Test in English at the United Nations Headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International Criminal Tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

Staff Members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all Staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
