The Office of Innovation (OoI) works to catalyze UNICEF's and all its partners’ expertise and resources to overcome bottlenecks in our outcomes for children, with a view to continuously ideate and scale the most effective solutions with transformational potential at scale to achieve the child-related Sustainable Development Goals (SDG).

Sustainable WASH Innovation Hub:

The vision of the UNICEF Sustainable WASH Innovation Hub is to be a global home for building, accelerating and scaling transformational climate resilient solutions for a WASH secure future of universal and equitable access to services, addressing the full ambition of the SDG6.

The hub will bring together a passionate community of strategic partners including children and young people, academia, private entrepreneurs, public policy makers, social development and humanitarian actors, and our global UNICEF WASH and innovation colleagues in 150+ countries. Collectively we will co-create, advocate, enable, convene, and motivate for innovative sustainable solutions to long-standing barriers and emerging opportunities for a WASH secure and climate resilient future for every child.

The UNICEF Sustainable WASH Innovation Hub will be part of a distributed network of global thematic innovation hubs that are aligned to the central UNICEF Office of Innovation (OOI) in Sweden. The OOI architecture works in close partnership with child impact local ecosystems in countries across the world, while simultaneously engaging some of the most impactful global innovation ecosystems.

How can you make a difference?

Under the supervision and guidance of the supervisor, P5 Chief of the Hub, the Programme Associate is responsible for executing a broad variety of procedural and specialized administrative and programme support tasks for Office of Innovation’s newly established Sustainable WASH Innovation Hub based in Copenhagen, requiring in-depth knowledge of administrative procedures, processes and policies for setting up a new office and programmatic support of programme design and delivery. The incumbent will be working in a new UNICEF’s office and therefore the scope of work might change overtime. The incumbent should display an innovative mindset and flexibility to work within a new organizational structure.

Summary of key functions/accountabilities:

  • Programme support: Ensuring the timely and accurate recording and administrative processing of government & NGO’s proposals and requests for direct cash transfers (DCTs); conduct programme monitoring in UNICEF focus districts for cash and supplies and inform team-members on the status; Support the in researching, compiling and analyzing qualitative and quantitative data and information from a variety of sources on subject matters relevant to the work of the hub; Carry out transactions in VISION (SAP) and programme coding are as per annual work plans (AWPs), and making amendments and alterations per revisions when necessary; Support the monitoring of budgets and financial expenditures of the Hub ensuring compliance with UNICEF rules and regulations, keeping supervisor informed and advised on actions for decision and/or follow up; Help prepare periodic or ad-hoc financial reports to support the Hub in optimizing use of programme funds; Tak action points / notes from team meetings.
  • Procurement: in coordination with the Operations team in support of the WASH Hub. Facilitate the processing of contracts for consultants and external partners. Process consultant invoice; Maintaining up-to-date vendor lists, partners, and consultant rosters.
  • Supports management of administrative tasks, supplies and office equipment: Ensures that services and maintenance of premises are in accordance with organizational standards; Arranges for the purchase and timely distribution of office supplies; liaise with facility management and Supply Division/ Operations on local support needs; Support office management and supplies; Local contracting and contract management; Assets management; Support on preparation of local SOPs; invoice processing and responsible for collecting invoices and filing documents for approval and, thereafter processing all in VISION (SAP); uploads electronic files and verifies results to destination system; responds to client transaction status and other inquiries.
  • Support Events/Logistics for capacity development activities and conferences by making the logistical arrangements, through engaging with facilitators, caterers and hosts; Prepares and maintains agendas on meetings and events related to the work group commitments.
  • Support Travel by providing travel assistance to staff members in hub for travel arrangements and entitlements based on the organization’s rules and policies; Briefs/de-briefs staff members on issues relating to travel matters such as visas, security clearance, and documentation procedures; Visa, work permit, protocol and relocation support: Assists in the preparation of budgets on travel costs and maintain travel plan and budgetary control records
  • Knowledge Management & Communications, support maintenance/ up to date information on the WASH SharePoint pages; Develop and maintain WASH filing systems and content (including filing systems and A2S SharePoint); Monitore generic WASH / Innovation mailboxes

To qualify as an advocate for every child you will have…

Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization.

Experience: A minimum of six years of administrative or clerical work experience is required. Prior experience in programme support functions is an asset. Relevant experience in a UN system agency or organization is considered as an asset. Experience in new office setup is considered an asset.

Language Requirements: Fluency in English is required. Knowledge of another official UN language is considered as an asset.

Technical Skills:

  • In-depth knowledge of the administration which underpins UNICEF country office programme/project operations, including monitoring and evaluation processes.
  • Strong organizational, planning and prioritizing skills and abilities.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural backgrounds.
  • Strong office management skills.
  • High attention to detail.
  • Ability to effectively manage the section’s material resources and monitor its budget.
  • Good analytical skills.
  • Experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint.
