How can you make a difference?

The incumbent will be required to complete the following expected key tasks:

  1. Support to programme development, planning and execution
  • Compiles data and information on subject matters relevant to the work of the programme team to facilitate preparation of reports, working papers, and presentations.
  • Prepares and maintains records pertaining to programme planning and development for the programme team.
  • Carries out transactions in VISION ensuring programme results, activities and programme coding are as per annual work plans (AWPs), and makes amendments and alterations as per revisions when necessary.
  • Arranges meetings, workshops and training courses pertaining to programme development, and provides support in making the necessary logistical arrangements.
  • Supports the formalization of implementing partnerships with government, civil society organizations and other implementing partners in line with relevant policies, procedures and guidelines.
  • Supports the implementation of HACT in line with the HACT policy and procedure and other relevant organizational policies, procedures and guidelines.
  • Supports in conducting HACT assurance activities to implementing partners, including spot checks, programmatic checks, micro assessments and audits.
  • In coordination with Operations team, administers Programme requests for procurement of services and goods, including relevant transactions in VISION.
  • Carries out low value procurement activities for the Programmes team, including the relevant transactions in VISION.
  1. Support to monitoring and reporting of programmes
  • Provides support on budget revision/preparation, implementation status against available resources, determination position of funding utilization, operational, and financial closure.
  • Monitors budgets and financial expenditures, ensuring compliance with UNICEF rules and regulations, keeping supervisor informed and advised on actions for decision/follow up.
  • Monitors the allocation and disbursement of programme funds, making sure that funds are properly coordinated, monitored and liquidated in line with programmatic priorities.
  • Monitors and prepares reports for the supervisor and the PME unit on programme implementation progress and compliance based on funding and donor requirements, related to areas of over or under-expenditure respectively to ensure maximum fund utilization.
  • Prepares and maintains records, documents and control plans for the monitoring of project/programme implementation and updates relevant monitoring tools as required.
  1. Support the knowledge management tools and mechanisms
  • Provide support on the implementation of the Knowledge Management strategy of the Office, under the guidance of the supervisor, through periodic or ad hoc presentations.
  • Gathers and shares information as needed in support of improving the processes and daily operations of the programme team and the PME team.
  • Supports capacity development related to the KM strategy tools, procedures and day to day information flow.
  • Maintains and updates regularly E-tools platform with partnership documents and data.
  • Support to the update and maintenance of the UNICEF profile at the United Nations Partner Portal, in partnership opportunities and partner registration/verification.
  1. Support in resource mobilization
  • Compiles and organizes information and data pertaining to donors (both current and potential).
  • Compiles and organizes data and information to assist in the preparation of periodic or ad-hoc financial reports relating to country office and donors to support the office in optimizing use of programme funds.
  • Carries out transactions in VISION pertaining to grants such as registering grant allotments and tracking expiring programme grants, extension of grant agreements etc.

To qualify as an advocate for every child you will have…

  • Completion of secondary education preferably supplemented by technical or university courses related to the work of the organization.
  • A minimum of 6 years of progressively responsible administrative or clerical work experience is required.
  • Experience in partnerships management, grant & budget management is considered an asset.
  • Relevant experience in a UN system agency or organization is considered as an asset.
  • Fluency in English and in Greek is required.
  • In-depth knowledge of the administration which underpins UNICEF country office programme/project operations, including monitoring and evaluation processes.
  • Strong organizational, planning and prioritizing skills and abilities.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural backgrounds.
  • Strong office management skills.
  • High attention to detail.
  • Ability to effectively manage the section’s material resources and monitor its budget.
  • Good analytical skills.
  • Experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint.
