The Business Engagement and Child Rights Team (BECR) is located within the Programme Group Leadership Team (PGLT) in UNICEF Programme Group (PG).

The team is charged with driving forward PG and UNICEF work to leverage and influence business to respect, support and advance child rights, and to integrate the role of business as key stakeholder and strategy in UNICEF programming. This area of work is part of the organization’s broader Business Engagement and Partnerships work, one of the key change strategies outlined in UNICEF’s Strategic Plan.

Working closely with Programme Group teams, and collaborating regularly with PFP Business partnerships and advocacy colleagues, the work of the BECR Team focuses on providing global leadership and coordination on the following areas:

- Engaging with and on the world of business to prevent mitigate and transform adverse business impact on child rights through policy work, evidence generation and by influencing sustainable business practices (CRB). - Maximizes the role of business in UNICEF programming through strategy development, engagement scoping, market segmentation and opportunity cultivation - Integration and institutionalization of Business Engagement strategies through policy development, programme guidance, technical tools and systems - Support business engagement and child rights work across National Committees and Regional and Country Offices.

Under the overall supervision of the Lead, Business Engagement and Child Rights Team the programme assistant supports the BECR team by carrying out a variety of general and standardized tasks, to help the team drive forward its plans and activities, in collaboration with PG Teams, Regional and Country Office and National Committees teams working on CRB and business engagement more broadly.

How can you make a difference?

Under the close supervision and guidance of the supervisor, the programme assistant supports the team by carrying out a range of procedural, administrative, and operational tasks, to help develop, implement and monitor their programme, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations. These functions include:

  • Facilitating the processing of contracts for consultants, vendors and external partners that support the office in programme delivery. This includes preparing and filing documents, completing necessary forms and templates, uploading TOR’s in VISION, and making necessary logistical arrangements. Keeps vendor lists, partners, and consultant rosters up-to-date.
  • Supporting procurement needs of the team, including preparing relevant requests, raising requisitions, ensuring timely completion, and receiving and verifying invoices, and filing documents for approval and thereafter processing in VISION.
  • Provide assistance to Human resource related requests. Supporting onboarding of new team members. Supporting Chief with human resource requests, including liaising with HR team, producing advertisements for positions within the team.
  • Serving as budget focal point for the team.
  • Reviewing and monitoring expenditures in VISION.
  • Providing monthly budget reports.
  • Preparing and maintaining records, documents and control plans for the monitoring of project/programme implementation and financial expenditures.
  • Carrying out transactions in VISION ensuring programme results, activities and programme coding are as per annual work plans (AWPs), and makes amendments and alterations as per section revisions when necessary.
  • Supporting communications between the HQ team and colleagues across the network in PFP, Regional Offices and country offices.
  • Assisting in preparing briefing notes, including liaising with UNICEF offices to obtain inputs.
  • Assisting in drafting time-sensitive e-mails. Support Office Planning and Coordination Monitoring work progress and priorities of the BECR team by following-up on deadlines and commitments.
  • Assisting in knowledge management activities.
  • Maintaining a team calendar including support in scheduling Chief and team appointments and meetings, compilation of leave plans and travel plans for colleagues. Arranging meetings. Taking minutes of meetings and keeping the correspondence of the team well organized.
  • Supporting the management of administrative supplies and office equipment.
  • Providing travel assistance to staff members in section for travel arrangements and entitlements based on the organization’s rules and policies. Liaising with relevant travel focal points to ensure that the organization obtains the best service and price for all travel.
  • Preparing and maintaining records pertaining to programme planning and development for his/her respective section.
  • Supporting capacity development activities, meetings and conferences by making the logistical arrangements, through engaging with facilitators, caterers and hosts; arranging times through liaising with participants over availability; liaising with budget focal points and section over costs and needs; and preparing background materials for participants.
  • Carrying out other administrative duties assigned by the team when there is a need. Occasionally these may include administrative and organizational support to other PG colleagues outposted in Geneva.

    To qualify as an advocate for every child you will have…

  • Completion of secondary education, preferable supplemented by technical or university courses related to work is required.

  • A minimum of five (5) years of relevant experience in providing progressively responsible administrative/clerical support and financial or budget work services is required.
  • General Service Staff are recruited locally. Candidates must be in possession of an existing visa/work permit or be a resident/citizen of Switzerland and/or a commuting area to be considered eligible for this position.
  • Experience in preparing, maintaining and monitoring project budget plans and expenditures; commitments, expenditures, and liquidation of funds is an asset.
  • Experience and knowledge in generating and extracting data from VISION (on usage of Budget; grants management, accounting reports, statistics, etc.) is and asset.
  • Demonstrated ability to multi-task and deliver quality results under tight deadlines
  • Demonstrated ability to take initiative in effectively supporting team members.
  • Working knowledge of UNICEF systems, policies and procedures is considered an asset.
  • Strong writing, interpersonal and communications skills are desired.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
