Under the close supervision and guidance of the supervisor, the programme assistant supports the respective section (s) by carrying out a range of procedural, administrative, and operational tasks, to help develop, implement and monitor their country programme, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations.

How can you make a difference?

Resultado 1: Personal de apoyo y/o colaboradores externos en los procedimientos de viaje:

  1. Proporciona asistencia en viaje al personal de la sección y/o a los colaboradores externos para los arreglos de viaje y los derechos basados en las normas y políticas de la organización. Sirve de enlace con los puntos focales de viajes relevantes para garantizar que la organización obtenga el mejor servicio y precio para todos los viajes.
  2. Apoyar a los miembros del personal y/o colaboradores externos en temas relacionados con asuntos administrativos como visas, autorización de seguridad, procedimientos de documentación.
  3. Apoyo en extractos, insumos, mantiene y verifica la exactitud de los registros de viajes en el área para garantizar transacciones precisas relacionadas con los costos de viaje y los viajes del personal
  4. Ayudar en la preparación de presupuestos sobre gastos de viaje y mantener registros de control presupuestario de viajes.

Resultado 2: Proporcionar soporte en el procesamiento de facturas:

  1. Soporte para el cobro de facturas y la presentación de documentos para su aprobación
  2. Mantener archivos electrónicos y resultados verídicos.

Resultado 3: Contratación de consultores u otros proveedores de servicios:

  1. Apoyar la tramitación de contratos de consultores y socios externos que presten un servicio a la sección. Esto incluye preparar y archivar documentos, completar formularios y plantillas necesarios y apoyar los arreglos logísticos necesarios.
  2. Mantiene actualizadas las listas de proveedores, socios y listas de consultores.
  3. Apoyar la compra y distribución oportuna de suministros de oficina.

Resultado 4: Eventos y conferencias de apoyo:

  1. Apoya las actividades de desarrollo de capacidades y las conferencias haciendo los arreglos logísticos, a través de la participación con facilitadores, proveedores de catering y anfitriones.
  2. Organiza los horarios a través del enlace con los participantes sobre la disponibilidad.
  3. Sirve de enlace con los coordinadores presupuestarios y la sección sobre los costos y las necesidades.
  4. Prepara materiales de antecedentes para los participantes.
  5. Prepara y mantiene agendas de reuniones y eventos relacionados con los compromisos del grupo de trabajo.

Resultado 5: Funciones administrativas generales:

  1. Mantener archivos duros y electrónicos y actualizar los sistemas de bases de datos asegurando el registro, la custodia y la eliminación oportunos y apropiados de la información confidencial
  2. Mantener registros de asistencia / actuar como un punto focal de licencia.
  3. Supervisar la utilización de todas las solicitudes de insumos financieros e informar al supervisor de los ajustes necesarios (sobreutilización, escasez de fondos, etc.).
  4. Familiarizarse con las instrucciones / herramientas relacionadas con el monitoreo del programa e informar al supervisor para ver si hay cambios significativos.

Skills

  • Thorough knowledge of UNICEF administrative policies and procedures.
  • Strong organizational, planning and prioritizing skills and abilities.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural backgrounds.
  • Training and experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint
  • Strong office management skills.

To qualify as an advocate for every child you will have…

  • Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization.
  • Experience: A minimum of five years of progressively responsible administrative or clerical work experience is required.
  • Language Requirements: Fluency in English and Spanish is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian) or a local language is an asset.
